Position Overview:
We are seeking a highly organized and professional Executive Assistant to join our Germantown corporate office. The Executive Assistant provides administrative support for the President and the Chief Operating Officer (COO) by handling information requests, performing clerical functions, managing schedules, communications and specialist projects. This position also supports administrative functions for the Germantown office and leadership team. This is a part-time role, approximately 20 hours per week on-site.
What You Will Be Doing:
- Manage calendars, meetings, and internal/external communications for the President and COO
- Coordinate Board meetings and events; prepare agendas, take minutes, and handle Board correspondence
- Support leadership team with meeting preparation, note-taking, and project coordination
- Administer contracts and maintain organized digital files
- Oversee office operations including supplies, mailings, facility needs, and occasional errands
- Serve as a liaison for internal departments and board members
- Ensure professional, confidential handling of sensitive information

Requirements
- Associate’s degree in Communications or related field (Bachelor’s preferred)
- 3–5 years’ executive support experience (non-profit and health care experience preferred)
- Active member of a WELS or ELS or confessional Lutheran church preferred
- Proficiency in Microsoft Office, including Word, Excel, and Outlook
- Exceptional organizational, verbal and written communication, and time management skills
- Ability to work independently, manage multiple priorities, and maintain confidentiality
- Must be willing to work occasional evening hours for Board meetings and special events
- Valid Wisconsin driver’s license and insurable driving record required
- Notary Public commission or willingness to obtain
