ABOUT THE DEPARTMENT

The Principal Gifts team, part of the Philanthropy department, stewards our board and principal donor families, supports and facilitates the Director’s and Chair’s donor work, and manages campaign fundraising initiatives.

 

ABOUT THE POSITION

The Principal Gifts Project Manager will support the museum’s relationship with its board of trustees and top donor families through systems, reports, and projects that record and communicate information to museum philanthropy staff and leadership.

 

RESPONSIBILITIES  

  • Assist the Principal Gifts department in the management of critical portfolios, prompting planned donor stewardship and driving Raiser’s Edge upkeep of trustee and principal prospect records
  • Work closely with the Philanthropy colleagues to maintain workflow tools such as stewardship tracking, communication calendars, constituent pipelines, and donor files. File contact reports and disseminate information to appropriate leadership and colleagues
  • Assist in the preparation of drafts, reports, briefings, and invitation lists
  • Work collaboratively across the museum to steward principal gift families, including proper recognition, mailings, and arranging museum experiences
  • Serve as a lead partner with the Advancement Operations team on the processing and tracking of gifts and gift-related inquiries 
  • Execute recurring projects that facilitate the stewardship of trustees and top donor families, including recurring trustee communications and giving reports. Assist and manage other projects as assigned
  • Act as office manager; oversee office supply and donor gift inventory; process invoices and expenses for the Principal Gifts team; assist with tracking departmental budget
  • Actively participate in the development of annual team priorities and goals
  • Represent the museum in external activities, as needed, especially events with trustee attendance
  • Perform other duties as assigned

 

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working at a computer; must be able to remain in a stationary position 
  • Occasionally moves about inside the office to access files, office machinery
  • Moves about the museum campus to communicate with groups or individuals
  • Ability to lead, present, and participate in meetings, onsite and virtually
  • Available to work onsite at the museum five (5) days a week.

 

QUALIFICATIONS

  • High School Diploma or GED required. Bachelor’s degree or industry specific training or certification highly desired.
  • Minimum 1-3 years of experience working in philanthropy, high-level customer service, or related field required. In lieu of a degree, 3-5 years experience minimum required.
  • Experience developing and managing systems for monitoring multi-tiered activities and initiatives gained via professional or internship experience required.
  • Minimum 1-3 years demonstrated success in project management gained via professional or internship position required.
  • Ability to manage and prioritize multiple projects and work around tight deadlines in a fast-paced environment.
  • Demonstrated ability to diplomatically work with high-level volunteers, internal and external constituencies required.
  • Demonstrated ability to utilize keen judgment and prioritization when balancing multiple projects and requests.
  • Demonstrated proficiency in verbal and written communication.
  • Demonstrated experience using fundraising databases to track and analyze information, preferably Raiser's Edge. ⋅ “Poweruser” knowledge of MS Office programs (Word, Excel, PowerPoint) and basic design principles.
