Job Title: Recruitment Assistant

The Recruitment Assistant will provide administrative and operational support to the Recruitment Manager in delivering effective recruitment across the College. The role will help ensure a smooth, professional, and timely recruitment and onboarding process for candidates and hiring managers.
 
The Recruitment Assistant will play a key supporting role in enabling the Recruitment Manager to deliver strategic recruitment outcomes, while ensuring that day-to-day processes run efficiently and professionally.
This is a full-time, permanent role, based at the Arts Centre on Myrtle Street.

Recruitment Manager

Key Responsibilities

  • Coordinate and administer recruitment activities across the full recruitment lifecycle, including advertising vacancies, managing applications, scheduling interviews, and preparing correspondence.
  • Act as a first point of contact for recruitment queries from candidates, managers, and external partners, ensuring clear and professional communication.
  • Maintain accurate recruitment records, systems, and documentation to support compliance with statutory requirements and best practice.
  • Assist in the preparation of recruitment materials, such as job packs, adverts, and onboarding documentation.
  • Support the promotion of the College’s values of diversity, equity, and inclusion through fair and consistent recruitment practices.
  • Provide regular updates and reports to the Recruitment Manager to monitor progress and inform decision-making.
  • Contribute to the delivery of an excellent candidate experience, helping the College attract and retain high-quality staff.
  • Collaborate with the Recruitment Manager and Heads of School to manage the bank staff pipeline, ensuring effective placement and timely fulfilment of staffing needs.

  • Take proactive responsibility for maintaining a safe working environment by upholding Health & Safety standards and ensuring safe working practices at all times.
  • Ensure compliance with General Data Protection Regulations (GDPR).
  • Provide support for cross-college activities, especially during key periods such as enrolment and invigilation.
  • Perform any other duties relevant to the College’s needs, as appropriate to the role and grade.

Skills, Knowledge and Expertise

Essential Criteria 
  1. At least one year experience working in a recruitment environment, either agency or inhouse OR  Previous administrative experience, ideally within HR, recruitment, or a customer service environment. (which do you think)
  2. Proactive, organised, and able to manage multiple priorities effectively.
  3. Excellent written and verbal communication skills, with the ability to convey information clearly and professionally.
  4. Strong attention to detail with a commitment to accuracy and compliance.
  5. Professional and approachable, with the ability to build positive relationships at all levels.
  6. Flexible and adaptable to changing priorities and demands.
  7. A team player with a supportive and collaborative approach.
  8. Strong administrative and organisational skills, with experience managing schedules, correspondence, and records.
  9. Confident in using recruitment systems, applicant tracking software, and Microsoft Office applications (Word, Excel, Outlook).
  10. Ability to work to deadlines in a fast-paced environment.
  11. Previous administrative experience, ideally within HR, recruitment, or a customer service environment.
Desirable Criteria 
  1. Educated to degree level or equivalent professional experience.
  2. Understanding of equality, diversity, and inclusion in the workplace.
  3. Fluent speaking in any of the mentioned languages:  Arabic, Persian, Kurmanji (Northern Kurdish), Sorani (Central Kurdish), Portuguese, Spanish, Tigrinya, Vietnamese, French.
