About the role
We are seeking a motivated and detail-oriented Administrative Assistant to join our team. In this role, you’ll provide essential support in managing corporate administration tasks for a diverse portfolio of international clients. You’ll assist with maintaining company records, coordinating with regulatory authorities, and supporting legal and compliance activities.
This position offers excellent exposure to corporate governance, compliance requirements, and operational workflows within a global business context. It’s ideal for someone with a foundational education and some experience, eager to develop their career in an international legal, tax, or trust environment.
Some of the things you'll be doing
- Maintaining corporate records and ensuring accurate filing with relevant authorities.
- Supporting the preparation and execution of legal and administrative documentation.
- Coordinating with notary offices, tax authorities, and other government agencies as required.
- Assisting with compliance procedures including know your client (KYC) and other regulatory requirements.
- Helping organize client meetings, board meetings, and other corporate events.
- Supporting invoice processing and cash collection efforts within your portfolio.
- Providing general administrative support to the legal and corporate teams.
What technical skills, qualifications, and experience do you need?
- High school diploma or equivalent qualification; additional education in legal, business administration, or related fields is a plus.
- First relevant work experience, preferably in an international legal, tax, trust, or corporate services setting.
- Basic understanding of corporate governance, compliance, and regulatory procedures.
- Strong communication skills with fluency in English and German, both written and spoken. Proficiency in additional languages is an advantage and may be required depending on client needs.
- Strong organizational and administrative skills with keen attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and willingness to learn new software tools.
- Ability to manage multiple tasks, prioritize effectively, and work independently as well as part of a team.
- Familiarity with client record management and document filing systems.
- Basic knowledge of KYC and compliance requirements is beneficial.
