The Ohio State University College of Dentistry seeks an Administrative Assistant to provide comprehensive support to its Division of Pediatric Dentistry, along with the Chair and the Predoctoral Program Director of Pediatric Dentistry. This role involves a variety of tasks, including coordinating schedules, managing communication, preparing documents, and supporting special projects. In addition, the Administrative Assistant will provide services to faculty members, staff, and students in the Division of Pediatric Dentistry. This includes:

  • Interact with staff and faculty in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism.

  • Handle routine and non-routine administrative duties based on established policies and procedures of the College.

  • Manage the daily operations and dental assistants of the Pediatric Dentistry clinic.

  • Serve as a resource on business processes and system use. 

  • Provide day-to-day administrative support to the division, including calendar management (scheduling, confirmation, and rearrangements), travel arrangements, itinerary planning/confirmations for all attendees.

  • Assist in planning and organizing division-specific events, meetings, and conferences, including logistics, speaker series, travel, itineraries, catering, and materials preparation.

  • Attend meetings with senior leadership to assist with documentation ensuring compliance with all sensitive patient information.

  • Maintains division’s files and library

  • Manage expenses, payables, and procurement systems for the Division of Pediatric Dentistry.

  • Monitor budgets for the Division of Pediatric Dentistry and prepare reports for audit.

  • Reconcile division financial statements

  • Maintain relationships with support staff throughout the College to facilitate the continuation of work.

  • Provides administrative support with clinical research studies

  • Supervise clinical and office staff

  • Monitor and coordinate workload, approving time and leave, hiring, training and evaluating the clinical and office staff 

  • Maintain didactic and clinical course records and documentation

  • Communicate with faculty, residents, students, and staff with regards to inter-operations between Ohio State and Nationwide Children’s Hospital

The targeted hiring pay range is $21.35- $27.88, based on experience and education.

The work schedule for this position is Monday - Friday, 7:30 am to 4:30 pm.

The final candidate must successfully complete a background check and alcohol and drug screening.

Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions. This position requires sustained periods using a keyboard and performing other computer work. Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.

Qualifications:

Required: High School diploma with 2 years' experience in medical or dental setting. Must be able to manage multiple projects, priorities, and deadlines successfully, while maintaining a positive, service-oriented outlook. Must have strong grammar and editing, time management, and organizational skills and be able to effectively multi-task. A proactive, prepared self-starter, and creative thinker that follows up on tasks would be successful in this position. Must have Microsoft Office expertise and experience with a focus on Word, Excel, and Outlook. Must have competence in or ability to learn IHIS.

Desired: Associate degree with 4-6 years' experience supporting faculty, student and staff populations
