An exciting opportunity has arisen to work at Cardiff Business School. We are looking for an experienced administrator to join our Section Executive administrative team.

This team leads and manages the operational business of the School’s five academic Sections providing comprehensive professional administrative support to the Section Management Team and individual Section members in support of their individual research, engagement, innovation, scholarship and learning & teaching duties.

Working closely with the Section’s Management Team and Deputy School Manager, the successful candidate will play a key role in ensuring the smooth running of all administrative processes connected to the research, engagement, innovation, scholarship and learning and teaching of the School’s Economics Section.

This post is part time (3 days a week Monday-Wednesday) and available immediately. Salary: £28,031 - 31,236 per annum (Grade 4).

Job Description

Executive Support for the Section Head 
•    To act as the first professional point of contact for the Section Head, interpreting and prioritising requests received and providing advice and guidance as appropriate. 
•    To maintain and manage the Section Head’s diary and travel arrangements, where required, arranging appointments for internal and external contacts.  
•    To prepare correspondence for the Section Head, ensuring that all such correspondence is processed accurately and in an effective and efficient manner and stored appropriately for ready retrieval. 
•    To compile, analyse and interpret data, carrying out independent background investigations into topics and issues as required by the Section Head, preparing and providing management information reports and documentation to the highest standards.  
•    To establish and develop administrative systems to ensure the accurate recording of information relevant to the Section.
•    To have administrative involvement in the, ‘on-boarding’ and induction of new academic staff members to the Section.
•    To be responsible, in conjunction with the Deputy Section Head (Learning and Teaching), for the co-ordination, composition, amendment and distribution the Section’s annual Workload Allocation. 

Support for Section Activities
•    To take responsibility for the coordination of all administrative work for the Section, working with other professional service colleagues in the School to ensure the delivery of a professional service.
•    To professionally manage Section input to a range of School procedures, liaising with the Head and Deputy Heads of Section and other professional service teams as required e.g. in:
 - the regular update and refresh of the Section’s web pages
 - management of the Section Initiative Fund, 
 - meeting the requirements of research review exercises, 
 - conducting Right to Work checks, 
 - administering the University Teacher and Graduate Tutor timesheet processes.
•    To maintain an oversight of all administrative business in the Section, developing and monitoring the annual administrative workplan of the Section, providing advance warning of key activities. 
•    To support the Deputy School Manager in the implementation of new procedures and systems.
•    To collaborate with others in order to make recommendations for improvement of current administrative processes and procedures. 

Executive Support for the Section
•    To provide effective and professional assistance to Section members with a range of activities in support of their individual research, engagement, innovation, scholarship and learning and teaching duties, including the organisation of meetings, committees and events; the hosting of academic and commercial visitors; preparation and proof-reading of documents; advice and guidance for the booking of travel, purchasing of IT; etc.
•    To act as a communication conduit between the School and the Section, including the dissemination of information to Section members and the compilation of information, such as research returns, from Section members for the School.  
•    To provide administrative support to members of the Section’s Research Groups.  In particular, to be the first point of contact with a range of external funders and other organisations, assisting in the organisation of internal seminars and other external events and ensuring the maintenance of the contact databases.

Person Specification

Essential Criteria 
1.    Ability to communicate in writing clearly, concisely, and effectively to provide detailed advice and guidance to the Section, prioritising, managing and dealing with a range of incoming requests.
2.    Evidence of a good standard of numeracy and IT literacy.
3.    Experience of working in an administrative role or environment and ability to set up standard office systems and procedures, making improvements to these as appropriate.
4.    A demonstrated commitment to team work. 
5.    Experience of servicing meetings and committees and of working within complex committee and/or organisational structures.
6.    Ability to communicate specialist and complex information effectively and professionally to a range of customers with varying levels of understanding
7.    Ability to advise and influence key stakeholders in your area of work.
8.    Ability to explore customers’ needs and adapt the service you provide accordingly to ensure a quality service is delivered.
