Summary:

The License, Permit & Asset Coordinator is responsible for ensuring the accurate and timely permitting, licensing, and registration of company-owned and independent contractor vehicles across the company. This position plays a key role in maintaining compliance with federal, state, and provincial regulations while managing vehicle assets efficiently and cost-effectively.

 

Essential Functions:

- Ensure all company vehicles and operations remain in full compliance with federal, state, and local regulations by obtaining and renewing required permits and licenses in a timely manner.
- Maintain comprehensive and accurate records of all vehicle and driver-related licenses, permits, and certifications, with proactive tracking of expiration dates to prevent lapses.
- Serve as the primary liaison with regulatory agencies, including the Department of Transportation (DOT) and state motor vehicle departments, to support application processes and address any compliance issues.
- Prepare, submit, and manage documentation and payments for new licenses, permits, and vehicle registrations, ensuring accuracy and timely processing.
- Conduct regular internal audits to verify compliance with licensing and permitting standards and support readiness for external regulatory audits.
- Investigate and resolve discrepancies or issues related to licensing, permitting, or regulatory compliance efficiently and effectively.
- Generate and present routine reports to management detailing the status of permits and licenses, along with any potential risks or compliance concerns.
- Perform additional duties and support tasks as assigned to assist with departmental goals and operational needs.

 

Skills & Requirements:

- High school diploma or equivalent required

- 2+ years prior experience in transportation, licensing, or fleet asset management strongly preferred

-Proficient in Microsoft Office Suite (Excel, Outlook, Word); experience with fleet management systems is a plus.
