Position Summary:
Serves as the Manager of Administrative and Fiscal Operations within the Division of Cardiovascular Medicine. This role directs and manages the day-to-day operations of the division, including human resources, fiscal management, and administrative affairs. The manager provides strategic and operational leadership to ensure efficient support for faculty, staff, and divisional initiatives.

Key Responsibilities:

Administrative & HR Operations (50%)

  • Directs and oversees daily administrative operations, including HR functions and support services.
  • Supervises administrative and education support staff; ensures efficient workflow and timely completion of tasks.
  • Manages recruitment, hiring, onboarding, and training of staff.
  • Administers performance management processes; monitors workloads and staffing levels.
  • Evaluates and recommends changes to staff structures and roles.
  • Acts as liaison between faculty and support staff.
  • Oversees space assignments, renovations, relocations, and capital asset management.

Fiscal Management & Strategic Planning (40%)

  • Provides financial oversight across multiple funding sources (e.g., practice plan, grants, endowments, contracts).
  • Develops and prepares annual budgets and projections; performs monthly reconciliations and financial analyses.
  • Creates and manages financial scorecards; analyzes clinical volumes and productivity.
  • Supports strategic financial initiatives for cost savings and operational efficiency.
  • Assists with faculty-related financial processes including salary adjustments, offer letters, contracts, and HR documentation.
  • Ensures accuracy of CART allocations, clinical productivity metrics, and patient care revenue.

Project Coordination & Data Analysis (5%)

  • Leads data coordination for divisional projects; integrates data-driven approaches into clinical and administrative operations.
  • Partners with leadership to align project priorities with organizational goals and strategic initiatives.
  • Provides ongoing analysis and reporting to support decision-making and performance improvement.
  • Acts on behalf of the Division Administrator in their absence.

Other Duties as Assigned (5%)

  • Performs additional responsibilities as needed to support divisional operations and leadership initiatives.

Required Qualifications:

  • Bachelor’s degree in Business Administration, Health Care Administration, or related field, or equivalent combination of education and experience.
  • Significant experience (5+ years) in administrative or management roles, preferably in an academic medical or higher education environment.
  • Strong knowledge of accounting and finance principles.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with university policies, procedures, and regulations.
  • Successful completion of a background check; may require pre-employment physical and drug screening.
