Fleet Office Manager Summary: The Office Manager / Parts sales position plays a key role in supporting the daily operations of a busy truck and trailer body repair facility. This position is responsible for assisting customers with parts sales orders, managing location inventory, vendor relationships, Accounts receivables and performing a variety of administrative tasks to ensure smooth workflow in the office and shop.

 

Fleet Office Manager Essential Duties/Responsibilities:

  • Assist customers in identifying, quoting, and ordering parts.
  • Prepare purchase orders, parts sales orders, and invoices accurately and efficiently.
  • Maintain inventory control by receiving, inspecting, stocking, and tracking parts.
  • Coordinate with vendors to confirm pricing, availability, and delivery timelines.
  • Manage returns, warranty claims, and core exchanges.
  • Manage accounts receivables.
  • Provide administrative support including billing, filing, data entry, and scheduling.
  • Answer phones, greet customers, and provide a professional and courteous experience.
  • Support management with reports and operational documentation.
  • Maintain a clean and organized parts and office area.

Fleet Office Manager Required Education, Knowledge & Skills: 

  • Knowledge of truck and trailer components preferred.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office (Excel, Outlook, Word) and inventory/order management software.
  • Ability to prioritize tasks and maintain accuracy under pressure.
  • Detail-oriented with strong data entry and recordkeeping skills.
  • High school diploma or equivalent required; associate degree preferred.
  • 1–3 years of experience in parts sales, service writing, or administrative support (truck/trailer or automotive industry preferred).

Fleet Office Manager Physical Requirements: 

  • Ability to perform the essential job functions consistently safely and successfully with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards. 
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards
  • While performing the duties of this job, the employee is regularly required to talk or listen. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 20 pounds and occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • Must be able to talk, listen and speak clearly on telephone
  • Communicate clearly

Work Environment:

Manufacturing work environment that has frequent exposure to fumes or airborne particles, noise intensity level, proximity to moving mechanical parts and exposure to weather. Light to Moderate noise (i.e., business office with computers, phone, printers, light traffic, and manufacturing noise from adjoining wall plant) 

Ability to sit at a computer station for an extended period.
