Caldwell University invited applications for a full- time Manager of Alumni Affairs. Reporting to the Executive Director of Advancement, the Manager of Alumni Affairs supports the Executive Director in driving strategic fundraising initiatives and fostering long-term relationships with alumni. This position is responsible for developing and executing programs that strengthen alumni engagement, helping build a robust donor pipeline, and fostering a culture of philanthropy at Caldwell University. A key focus of this role is, alumni outreach, and stewardship of alumni  donors with the potential to develop into major gift prospects. The Manager plays a pivotal role in ensuring the department’s fundraising goals align with long-term financial growth strategies and community-building efforts. Job duties include but are not limited to:

Alumni Relations and Engagement

  • Serve as the primary liaison to the Alumni Association and other volunteer groups focused on alumni engagement.

  • Develop and implement programs and events that foster deeper alumni relationships with Caldwell, including reunions, networking events, homecoming activities, and affinity-based outreach initiatives.

  • Create and manage a consistent communications calendar targeting alumni across generations and disciplines.

  • Identify and cultivate alumni who are potential donors, volunteers, or ambassadors for the university.

Donor Stewardship and Pipeline Development

  • Manage a personal portfolio of 50 annual alumni donors, focusing on stewardship, cultivation, and growth into larger commitments.

  • Coordinate recognition and acknowledgment efforts for alumni donors in collaboration with the Executive Director.

  • Develop strategies to retain and upgrade alumni donors, including monthly giving programs and multi-year pledges

Support for Major Giving Efforts

  • Collaborate with the Executive Director to identify and qualify new major gift prospects from the alumni.

Advancement Communications

  • Collaborate on the creation of newsletters, event invites, and other outreach materials related to alumni affairs.

  • Oversee alumni-related content in university publications, social media, and web pages.

 Event and Volunteer Management

  • Plan and execute engagement opportunities, including regional alumni events, campus gatherings, and class-based outreach efforts.

  • Recruit and manage volunteers to support alumni events, communications, and fundraising initiatives.

 Strategic Planning and Long-Term Growth

  • Contribute to department-wide strategic planning efforts focused on financial sustainability and long-term alumni donor development. 

  • Work to foster a culture of philanthropy among younger alumni.

  • Actively track donor behaviors and giving patterns, making recommendations for strategic shifts that will benefit departmental growth.


Bachelor’s Degree required in a related field, plus three or more years of effective experience is required. Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Applications ( Calendar, Docs, Sheets, Slides, Drive Management). Must be available for occasional travel and to work nights and weekends as needed. Must also have a valid driver’s license.  The successful candidate will be a team player with excellent written and oral communication skills who is able to effectively build and maintain relationships across all levels of the organization.
