Job Summary____________________________________________________________________
The Gallery Coordinator supports the planning, administration, marketing, and installation of visual art exhibitions across Overture’s six community gallery spaces. Working under the direction of the Gallery Director, this position helps plan and coordinate exhibitions, educational programs, and community events that connect diverse audiences with the arts.
The ideal candidate is detail-oriented, organized, communicative, and collaborative – able to manage multiple projects, build positive relationships with artists and partners, and provide exceptional customer service. Some evening and weekend hours are required.
Roles & Responsibilities_____________________________________________________________
- Coordinate with artists exhibiting in Overture’s six galleries (Rotunda Studio, Rotunda Gallery, Playhouse Gallery, and Galleries I, II, and III) and manage the full exhibition cycle, including contracts, artist meetings, scheduling, and collecting exhibition and marketing materials.
- Schedule and assist with the installation and deinstallation of exhibitions, ensuring safe and professional art handling practices.
- Design and edit wall labels, signage, and other exhibition materials.
- Oversee post-install follow-up, including artist payments, guestbook data collection, and post-show surveys.
- Maintain the gallery workroom, supplies, and tool cart to ensure readiness for all installations.
- Operate and maintain gallery equipment; scissor lift training may be required.
- Manage the Overture Galleries Online Store, including artwork updates, packaging and shipping sales, arranging local pickup, and communicating with artists and patrons.
- Assist in developing and refining operational systems to improve gallery processes.
- Draft exhibition-related content, including brochure copy, blog posts, email campaigns, press releases, and website updates.
- Coordinate and manage social media content in partnership with the marketing team.
- Support gallery-related events, including receptions, community programs, and studio visits; collaborate with the Events team to schedule and execute these activities.
- Partner with facility and maintenance staff to ensure gallery spaces are properly maintained and prepared for installations.
- Assist the Gallery Director and Selection Committee with artist application review and meeting preparation.
- Set up and manage Calls to Artists in Airtable; promote opportunities and maintain relationships with Dane County artists.
- Actively participate in Overture Center and Programming team initiatives, attending relevant meetings, events, and performances to support organizational goals.
- Perform additional duties as assigned.

Qualifications____________________________________________________________________
The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education & Experience:
- Bachelor’s degree in arts administration, art education, visual arts, or a related field preferred
- 2-3 years of experience in visual arts coordination, arts education, or community-based arts programming within a performing arts center, museum, gallery, or related institution preferred
- 2-3 years of experience in art handling, installation, and gallery administration
Knowledge, Skills, & Abilities:
- Strong organizational and multitasking skills with attention to detail and accuracy
- Excellent interpersonal, verbal, and written communication skills
- Proficiency in Microsoft Office Applications such as Outlook, Sharepoint, OneDrive, Word, Excel, and related software. Experience with organizational applications like Monday.com and Airtable preferred. Experience with e-commerce and Shopify preferred
- Knowledge of visual art practices, materials, and installation methods
- Familiarity with marketing, public relations, and promotional strategies
- Demonstrated ability to work independently and collaboratively in a fast-paced environment
- Commitment to exceptional customer service and adherence to sales and operational procedures
- Ability to interpret and apply facility and program policies effectively
- Ability to build and maintain positive working relationships with artists, staff, and the community

Physical Demands:
- Prolonged periods of sitting or standing while working on a computer or attending meetings

- Must be able to lift and/or move up to 25 pounds regularly, and occasionally up to 50 pounds during program setup or event support

Work Environment:
- Work is primarily performed in a professional office environment with standard lighting, temperature, and equipment
- Regular on-site presence is required to support program operations, attend meetings, and respond to time-sensitive needs
- The role may involve occasional work in performance venues with increased activity or moderate noise
- Frequent interaction with staff, vendors, artists, and community partners is essential to the role
- Flexibility in hours may be required during special events, installations, or other high-demand periods
Travel: This position is not expected to include travel.
