The Area Event Services Coordinator plays a pivotal role in supporting the catering and group sales efforts across the Dulles Region hotels, which include a full-service hotel, conference center, and multiple focused-service properties. This position is primarily responsible for planning, detailing, and coordinating catering events, ensuring seamless execution from initial inquiry through post-event follow-up. The Coordinator champions both customer satisfaction and ownership objectives, aligning with B.F. Saul Hospitality Group’s Quality Pledge, Standards of Service, and Mission Statement.
This role requires direct communication with clients across various market segments and close collaboration with on-property and remote sales representatives to ensure every event is executed flawlessly.

Responsibilities:
Event Planning & Detailing:
Serve as the primary contact for catering event detailing, including menu planning, room setup, audiovisual needs, and billing specifications.
Conduct thorough client consultations to understand event objectives and translate them into actionable plans.
Create and manage group resumes and banquet event orders (BEOs), ensuring all operational departments are informed and aligned.
Proactively identify potential challenges and provide creative, solution-oriented recommendations to ensure successful events.
Sales & Administrative Support:
Support the sales team by managing lead intake, responding to inquiries, and assisting with contract turnover and booking logistics.
Maintain accurate and timely data entry in Delphi.FDC and other brand systems, ensuring integrity and consistency.
Assist with other administrative tasks as needed to support the broader sales and catering team.
Client Service Excellence:
Ensure client satisfaction by responding promptly to requests and resolving concerns with professionalism and empathy.
Uphold service standards and act as a liaison between clients and hotel departments to guarantee smooth event execution.
Welcome and acknowledge all guests according to company standards, anticipating and addressing service needs.
Collaboration & Communication:
Attend daily, weekly, and monthly meetings to ensure proactive planning and communication across departments.
Publish and distribute key reports including Daily Events Reports, Banquet Event Orders, Banquet Checks, Change Logs, and Deposit Reports.
Update reader boards and signage as needed to reflect current event schedules.
Operational Support:
Support operations to maintain standards per B. F. Saul Company Hospitality Group, brand, local, state and federal regulations. Ensures a clean and safe work environment, and follows all B. F. Saul Company Hospitality Group procedures for guest/employee incidents.
Qualifications:
Education: High school diploma or GED required.
Experience/Knowledge/Skills/Abilities: Exceptional written and verbal communication skills. Strong organizational and time management abilities with keen attention to detail. Proficiency in Delphi.FDC, Microsoft Office Suite (Word, Excel, PowerPoint), and brand-specific systems. Ability to work independently and collaboratively in a fast-paced environment. Professional demeanor with a high level of integrity and discretion.
Physical Requirements: Ability to perform event-related tasks including walking, standing, lifting, push, pulling up to 20 lbs on an occasional basis and working extended hours as needed.
