Job Description: The Executive Assistant is directly accountable to the Deputy Chief Medical Officer of the Saskatchewan Health Authority and provides administrative support in a one-on-one working relationship. This position supports, and contributes to, processes and practices to support the efficient operation of the Deputy Chief Medical Officer’s portfolio, through accurate, timely and efficient execution of administrative support functions. The incumbent works closely, in a collaborative and cooperative manner, with all members of the Senior Leadership Team, and their support staff, to assist in accomplishing the Saskatchewan Health Authority’s objectives.
The incumbent co-ordinates workflow with other administrative support staff in the Executive Office and at the Executive Director level and, in their absence, may provide support services as requested.
Education:
- Completion of Grade XII supplemented by a recognized business course.
Experience:
- Three to five years of experience working in a senior administrative assistant-type role.
Knowledge, Skills & Abilities:
- Exceptional planning, organizational and interpersonal skills.
- Expert written and verbal communication skills including excellent proficiency in editing material for clarity, accuracy and conciseness.
- Demonstrated approaches to problem-solving with strong decision-making capability.
- Knowledge and experience in minute taking and synthesizing information.
- Excellent computer skills, with a good working knowledge of various programs, including but not limited to, Microsoft Word, Excel, PowerPoint, Exchange, Schedule Plus, Visio, Intranet/Internet, and the capability to learn new programs as required.
- Ability to adapt to frequent change and work under pressure.
- Ability to work collegially, collaboratively and build positive relationships through respectful and professional interactions.
- Ability to learn and develop a working knowledge of the organization, including its governance and organizational structure and relationships.
- Be self directed, and confident in applying independent judgment.
- Possess a high degree of initiative, ingenuity, including the ability to work with little, and/or no, supervision.
- Proven ability to maintain confidentiality including handling confidential information with discretion.
