Join our dedicated team at the Beatitudes Campus, where we are committed to fostering spiritual growth and enrichment for our residents and staff. We are seeking a proactive and organized Administrative Assistant to provide essential support to the Vice President of Spiritual Life. This role offers an opportunity to contribute to a vibrant department that offers worship, fellowship activities, pastoral care, counseling, and educational programs aimed at enriching the spiritual well-being of our community.

  

 Major Tasks, Duties, and Responsibilities:

  • Manage the administrative day-to-day affairs of the Spiritual Life department.
  • Coordinate the schedule of guest preachers and musicians and assist at Sunday services 2 times a month when guest preachers are scheduled.
  • Create and hang flyers around the campus for all Spiritual Life events.
  • Post Spiritual Life services and activities on the online calendar as well as the Roadrunner printed calendar and UniGuest.
  • Keep detailed notes on the Chaplain Fund and staff loans distributed.
  • Create and print bulletins for Sunday services and Celebrations of Life.
  • Take and type minutes for monthly Spiritual Life Committee.
  • Proofread and edit all Spiritual Life information in the weekly Roadrunner.
  • Coordinate events and meetings with understanding of the room reservation and calendar systems in TheWorxHub.
  • Retrieve messages from prayer lines and keep an updated prayer list.
  • Manage department internal invoices and purchasing using the Concur system.
  • Reconcile credit card purchases monthly.
  • Turn in hours worked for the Choir Director through Paylocity.
  • Have all guest musicians and guest preachers fill out W-9 forms and turn them into the Accounting Department making sure people are paid on time.
  • Attend team meetings and in-services.
  • Assist in ordering, stocking, and distributing food from the staff food pantry.


Requirements

Experience:

  

· Experience and understanding of worship preparation.

· Excellent organizational and time-management skills.

· Proficiency with Microsoft Office software.

· Strong written and verbal communication skills,

· Compassionate, respectful, and committed to supporting the spiritual needs of diverse populations.

· Must have a valid drivers’ license.

· Must possess the ability to make independent decisions when circumstances warrant such actions.

· Must possess or be able to obtain a Fingerprint Clearance Card.
