As an Operations Administrative Assistant, you will be the central point of coordination for front desk operations, team communication, scheduling, and office logistics. Based in our Spokane office, you will manage essential administrative activities, streamline internal processes, and ensure a seamless experience for both employees and visitors while also partnering closely with our Colville office to support shared operational needs.

The pay range for this position in Eastern Washington varies between $40,560.00 - $49,695.00. Washington Dental Service and its affiliates, including Arcora Foundation, Delta Dental of Washington, and TriForza, intends to offer the selected candidate a base pay within this range, dependent on job-related, non-discriminatory factors such as experience. Base pay will also be adjusted based on the candidate's geographic location.

- Manage the front desk by welcoming visitors, overseeing check-in and security procedures, and handling incoming calls with professionalism
- Coordinate cross-team administrative support, including scheduling, meeting logistics, and internal communications
- Oversee office operations such as mail distribution, supply management, and vendor coordination
- Partner with Facilities to coordinate space planning, safety procedures, and day-to-day office needs
- Maintain well-organized digital and physical filing systems for records, reports, and correspondence
- Support internal events and trainings by coordinating materials, communication, and workspace setup
- Use internal tools to manage administrative tasks, update records, and ensure efficient workflow tracking
- Collaborate with the Colville office to ensure alignment on shared administrative processes
- Prepare and route essential business documents, including refunds, appeals, and department-specific mail

- Proficient in Microsoft Office Suite (Outlook, Word, Excel) and standard office equipment
- Able to maintain confidentiality and handle sensitive information with discretion
- Reliable, punctual, and proactive in managing day-to-day responsibilities
- High school diploma or GED, plus 2+ years of administrative, office coordination, or project support experience; or an equivalent combination of education and experience
