About the Department
Under general supervision, performs as an Executive Administrative Assistant to the Deputy Chief of the Office of the Legal Advisor by engaging in all aspects of the administrate and clerical duties including but not limited to the dues as follows:
Position Duties
- Assist, where necessary, with the litigation discovery process, including coordinating electronic and tangible document production and litigation record hold obligations.
- Manage all legal office administrative responsibilities and provide the Deputy Chief with administrative support.
- Prepare legal documents, assist with legal needs, and perform general office duties.
- Draft the first copy of legal documents, and proofread documents for grammatical and typographical errors. Including confidentially organizing all legal documents.
- Proofread and edit material for grammatical and factual accuracy, and revise legal documents and report drafts.
- Work on PowerPoint, creating presentations and proposals.
- Respond to general inquiries and produce information responsive to subpoenas and court orders.
- Respond to litigation discovery and handle requests for document production and interrogatories.
- Prioritize and organize time-sensitive projects, including transcription of in-house client proceedings.
- Prepare and coordinate meeting agendas, minutes, and PowerPoint presentations for various executive-level meetings.
- Review and track all incoming/outgoing electronic correspondence.
- Conduct all initial and accurate legal research and analysis, and provide information to the Lawyer.
- Interpret laws, rulings, and regulations in legal documents.
- Daily record keeping with electronic and hard copy filing of documents.
- Obtain relevant information from other organizations or agencies.
- Create and organize information and generate reference tools for easy use by the office.
- Prepare and format legal presentations and management reports to ensure accuracy and clarity.
- Maintain and update databases and tracking systems to ensure accurate and up-to-date information.
- Respond to all case-related queries.
- Ensure efficient and effective administrative information and assistance.
- Scheduling appointments and taking notes during meetings to ensure adequate follow-up with clients or other parties involved in legal proceedings.
- Maintain and manage attorney-client files, including ensuring that they are organized and up to date.
- Arrange travel arrangements such as flights, hotel reservations, and rental cars.
Minimum Qualifications
Qualifications (required):
- Bachelor’s degree in Business, Law, Labor Relations, Criminal Justice, Organizational Development, Business Administration, or a curriculum closely related to the major activity of the employing department.
- Five years of increasingly responsible work experience supervising and coordinating general business activities (preferably in the employing department) and two years of experience supervising technical and clerical employees.
- Five years of legal experience in legal writing, research analysis in Police/Law Enforcement Litigation/Labor Employment.
Equivalent combinations of education and experience may be substituted to meet the education and experience requirements of this position.
Qualifications (preferred):
- Experience in a legal office with experience in legal administration is preferred.
- Proficiency working with Smartsheets, Adobe, Microsoft Office, and similar applications.
- Paralegal certification
