Huber Fox, an established Sacramento law firm focused on trust and estate litigation, is seeking an experienced administrative assistant to join its professional and collaborative team. The firm provides a high level of representation in trust and estate matters, covering the full spectrum of estate law—from planning through complex administration and litigation. We’re looking for a full-time administrative assistant for our Sacramento office who thrives in a team environment, performs well under pressure, and takes pride in providing exceptional administrative and client support. This position is in-person, Monday through Friday from 8:00 a.m. to 5:00 p.m. A high school diploma is required, and a bachelor’s degree is preferred.

Essential Functions
The administrative assistant is responsible for managing front desk operations and supporting attorneys and paralegals with daily administrative functions, including but not limited to:

  • Delivering excellent customer service by greeting and assisting prospective, current, and former clients and visitors by phone, email, and in person.
  • Screening and directing phone calls promptly to the appropriate staff member.
  • Scheduling initial consultations and follow-up appointments for new and existing clients.
  • Coordinating meetings, booking conference rooms, and managing attorney calendars.
  • Processing day-to-day administrative tasks, including incoming and outgoing mail, packages, and checks.
  • Preparing and coordinating court filings and filing services.
  • Scanning, organizing, and indexing electronic and paper files.
  • Assisting attorneys and paralegals with projects and administrative needs as requested.
  • Responding to written and electronic correspondence in a timely, professional manner.
  • Ensuring the lobby, office, and break areas remain safe, clean, and organized.
  • Participating in office and team meetings as needed.

Requirements

  • At least two years of experience as an administrative assistant in a law firm or legal environment.
  • Strong organizational and time management skills with the ability to multitask under time constraints.
  • Excellent listening, verbal, and written communication skills.
  • Detail-oriented, dependable, and eager to learn and grow within the firm.
  • Demonstrated ability to work effectively in a collaborative, professional team environment.
  • Self-motivated, adaptable, and comfortable handling sensitive information with discretion.
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Willingness to work overtime as needed, sometimes on short notice.
  • Strong professional references required.

Compensation and Benefits
Compensation starts at $28 per hour and is commensurate with experience. Benefits include health insurance, an employer-matched 401(k), and flexible PTO.
