GENERAL OBJECTIVES:
The Administrative Assistant for IT Administration provides vital support to the CIO and IT Leadership. This role is responsible for coordinating technology procurement, maintaining accurate financial and contract records, and supporting the daily administrative operations of the IT division. The position requires strong organizational skills, attention to detail, and the ability to work collaboratively with IT staff, University departments, and external vendors.

 

QUALIFICATIONS:

Knowledge and level of competency commonly associated with the completion of a baccalaureate degree in a course of study related to the occupational field.

• Strong organizational and time-management skills with the ability to manage multiple priorities.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with purchasing or financial systems.
• Excellent written and verbal communication skills.
• Ability to work independently and collaboratively in a professional, service-oriented environment.
• Experience in higher education or IT administration is a plus.

 

SPECIFIC RESPONSIBILITIES:
• Coordinate Information Technology procurement processes including preparing requisitions, processing purchase orders, tracking deliveries, and reconciling invoices.
• Maintain vendor relationships by requesting quotes, tracking warranties and renewals, and serving as the primary point of contact for procurement-related needs.
• Assist with Information Technology and Online Education budget management by monitoring expenditures, reconciling accounts, and preparing regular financial and procurement reports for IT leadership.
• Ensure compliance with University purchasing policies, IT standards, and applicable regulations in all procurement activities.
• Support contract and license management by maintaining records of service agreements, renewals, and software/hardware inventories.
• Coordinate with Financial Affairs to ensure timely and accurate processing of IT-related purchases.
• Provide administrative support to the CIO, Associate Vice President, and IT leadership, including scheduling, correspondence, meeting preparation, and document management.
• Prepare and distribute reports, memos, and communications on behalf of IT Administration.
• Maintain organized filing systems (digital and physical) for procurement records, contracts, and departmental documentation.
• Assist with special projects and other administrative tasks as assigned to support IT Administration operations.
• Other duties as assigned.

 

WORK SCHEDULE:
This is a full-time position with regular office hours between 8:00 a.m. – 5:00 p.m., Monday– Friday.

 

WORK LOCATION:
This position will work on the main campus, located at 3000 Mountain Creek Parkway, Dallas, TX 75211.
