POSITION SUMMARY
Provides senior-level administrative support for the CFO/CAO and managers (Accounting, Actuarial, Business Analytics, Health, Information Security (IS), Information Technology (IT), Internal Auditor, and Project Management departments).
RESPONSIBILITIES AND DUTIES
- General administrative support
- Maintain calendars and schedule meetings
- Coordinate travel arrangements
- Plan/coordinate special department events as needed
- Prepare CFO/team meeting agendas, coordination of speakers, record and distribute minutes
- Distribute mail (executive suite)
- Assist with filing
- Assist with correspondence
- Prepare and distribute various reports
- Reconcile various reports in support of CFO/accounting
- Process various credit applications and W-9 requests
- Process credit card expenses monthly for CFO and management team
- Audit Committee
- Assist in planning meetings, develop and assemble board book
- Actuaries
- Maintain calendars and schedule meetings
- Coordinate travel arrangements
- Assist in working with reinsurance contracts, amendments, etc.
- Payables
- Assist with data entry and back-up support for the remittance clerk
- External auditors
- Serve as liaison and assist with coordination of on-site visits, letter and confirmation preparation, invoice coding, fulfillment of various audit requests, etc.
- Responsible for coordination of INDOI Exam (every 5 years)
- IT department
- Maintain calendars and schedule meetings
- Coordinate travel arrangements
- Health Management
- Coordinate travel arrangements
- Assist with report preparation
- Risk Management / Business Continuity
- Schedule meetings
- Prepare agendas, attend meetings, record and distribute minutes
- Provide backup administrative support coverage to the CEO as needed
- Assist with other projects as assigned
QUALIFICATIONS
Education:
Associate degree in Accounting or Business, or equivalent experience
Experience:
Minimum of three years’ experience as an executive assistant or office manager
Skills and Abilities:
- Proven highly responsive service attitude and adaptability
- Ability to represent executive leadership professionally; respecting confidentiality, relating positively to others, and exhibiting passion for the Everence mission
- Proficient with (or able to learn quickly) various software packages, including but not limited to:
- Microsoft Office software - Word, Excel, PowerPoint, Teams, Access
- Microsoft Access – must be able to maintain information and print reports
- Report writing software – Crystal Reports, F9
- Other data management software:
- OnBase – eDocuments
- Online systems for credit cards and travel
- Must possess self-motivation, initiative, a sense of urgency, good judgment, accuracy with attention to detail, the ability to anticipate needs, and the ability to manage multiple tasks and deadlines
- Strong math, accounting, and analytical skills are necessary
- Excellent language and grammar skills are necessary
- Bilingual strongly preferred – ability to speak English and Spanish fluently
