POSITION SUMMARY
Provides senior-level administrative support for the CFO/CAO and managers (Accounting, Actuarial, Business Analytics, Health, Information Security (IS), Information Technology (IT), Internal Auditor, and Project Management departments).

RESPONSIBILITIES AND DUTIES

  1. General administrative support
    1. Maintain calendars and schedule meetings
    2. Coordinate travel arrangements
    3. Plan/coordinate special department events as needed
    4. Prepare CFO/team meeting agendas, coordination of speakers, record and distribute minutes
    5. Distribute mail (executive suite)
    6. Assist with filing
    7. Assist with correspondence
    8. Prepare and distribute various reports
    9. Reconcile various reports in support of CFO/accounting
    10. Process various credit applications and W-9 requests
    11. Process credit card expenses monthly for CFO and management team
  2. Audit Committee
    1. Assist in planning meetings, develop and assemble board book
  3. Actuaries
    1. Maintain calendars and schedule meetings
    2. Coordinate travel arrangements
    3. Assist in working with reinsurance contracts, amendments, etc.
  4. Payables
    1. Assist with data entry and back-up support for the remittance clerk
  5. External auditors
    1. Serve as liaison and assist with coordination of on-site visits, letter and confirmation preparation, invoice coding, fulfillment of various audit requests, etc.
    2. Responsible for coordination of INDOI Exam (every 5 years)
  6. IT department
    1. Maintain calendars and schedule meetings
    2. Coordinate travel arrangements
  7. Health Management
    1. Coordinate travel arrangements
    2. Assist with report preparation
  8. Risk Management / Business Continuity
    1. Schedule meetings
    2. Prepare agendas, attend meetings, record and distribute minutes
  9. Provide backup administrative support coverage to the CEO as needed
  10. Assist with other projects as assigned


QUALIFICATIONS

Education:
Associate degree in Accounting or Business, or equivalent experience

Experience:
Minimum of three years’ experience as an executive assistant or office manager

Skills and Abilities:

  1. Proven highly responsive service attitude and adaptability
  2. Ability to represent executive leadership professionally; respecting confidentiality, relating positively to others, and exhibiting passion for the Everence mission
  3. Proficient with (or able to learn quickly) various software packages, including but not limited to:
    1. Microsoft Office software - Word, Excel, PowerPoint, Teams, Access
    2. Microsoft Access – must be able to maintain information and print reports
    3. Report writing software – Crystal Reports, F9
    4. Other data management software:
      1. OnBase – eDocuments
      2. Online systems for credit cards and travel
  4. Must possess self-motivation, initiative, a sense of urgency, good judgment, accuracy with attention to detail, the ability to anticipate needs, and the ability to manage multiple tasks and deadlines
  5. Strong math, accounting, and analytical skills are necessary
  6. Excellent language and grammar skills are necessary
  7. Bilingual strongly preferred – ability to speak English and Spanish fluently
