Astro Pak is the nation's leading precision cleaning and passivation contractor specializing in on-site cleaning of high purity gas and fluid systems, as well as precision cleaning of components and hardware at the company’s Cleanroom facilities. Astro Pak provides services to over 15 sectors including: Data Centers, Biotechnology, Pharmaceutical, Aerospace, Semiconductor, and other selected Industrial markets. We are looking for a proactive and highly organized Office Administrator to keep our workplace running smoothly and efficiently. This pivotal role is key to supporting our team, maintaining a positive environment, and streamlining processes that enhance productivity across the organization.

This role is based onsite Monday-Friday in our corporate office in Costa Mesa, CA.

What You’ll Do

Office Operations & Maintenance

  • Manage day-to-day office functions, including facilities and vendor coordination
  • Ensure compliance with health, safety, and security protocols
  • Maintain a clean, organized, and welcoming office environment

Administrative Support

  • Provide executive-level assistance to leadership and cross-functional teams
  • Coordinate meetings, prepare agendas, and manage calendars
  • Handle confidential documents with discretion
  • Greet visitors and oversee front-office operations
  • Organize office events, celebrations, and wellness initiatives
  • Foster a positive and inclusive workplace culture
  • Order meals and coordinate logistics for meetings and events
  • Take initiative on special projects and office enhancements
  • Handle ad hoc requests from executives and department heads

Supply & Inventory Management

  • Monitor and replenish office, kitchen, and cleaning supplies
  • Manage vendor relationships and negotiate contracts
  • Track expenses and assist with budget planning

Communication & Coordination

  • Serve as a liaison between departments to streamline internal communication
  • Support HR and finance teams with administrative tasks
  • Assist in implementing company-wide initiatives and process improvements
     
    What We’re Looking For
    • Education: Bachelor’s degree preferred; high school diploma required
    • Experience: 2+ years in administrative or office management roles
    • Skills & Abilities:
      • Strong organizational skills with exceptional attention to detail
      • Excellent written and verbal communication skills
      • Ability to manage multiple priorities with professionalism and confidentiality
      • Proficiency in Microsoft Office (especially Excel & Outlook)
      • Comfortable working independently and collaboratively in both office and remote settings
      • Customer service mindset with a positive, can-do attitude

    Benefits

    • The pay for this position has a base hourly pay rate of $25 to $27. The actual pay will carefully consider a wide range of factors, including your skills, qualifications, experience and location.
