The Harris Center for Mental Health and IDD (“The HARRIS CENTER”) is looking for an Administrative Assistant II, Forensic MH to join our team. The Administrative Assistant II, Forensic MH works collaboratively and serves as a liaison to the Harris Center staff and Harris County Juvenile Probation Department (HCJPD) to provide on-site quality administrative/operational support for the day-today operations and programming needs. These duties include compiling, preparing, and maintaining appropriate reports related to scheduling and managing the day-to-day clinical operations of all Forensic unit staff (Psychiatrist, Doctoral Interns, Court Clinicians, Psychologist and Post-Doctoral). Additional duties include: triaging high-risk testing cases to prioritize scheduling; coordinating referrals for all types of Forensic Evaluations from 6 different sources (District Courts, Detention Court, Specialty Court, Field JP House, Harris County Probation Offices and Patients Attorney) and functioning as the Release of Information Officer and the IT super user between the HCJPD database/computer and the Harris Center access (Kronos, Citrix, Intranet).
Your role in action:
-Coordinates appointments for court-ordered evaluations with patient’s parents, attorneys, and Forensic unit staff.
-Triages high-risk youth based on clinical needs, as well as agency directives to prioritize them for scheduling.
-Schedules Justice, Equality, Humanity & Tolerance (JEHT) clinical cases.
-Prepares packets for daily cases, scan all court dispositions, create, and maintain spreadsheets/database (ex: staff monthly productivity, court orders received & completed, referrals for screenings & evaluations, overall unit monthly stats, and yearly staff calendar).
-Maintains communication with the Juvenile Detention Center to determine youths’ clearance from quarantine, floor restriction, and medical isolation.
-Communicates with detention staff about the youth who are scheduled for daily/weekly testing and tracks what TV’s is available for video assessments/screenings/evaluations.
-Coordinates referrals for all types of Forensic Evaluations from 5 different sources (District Courts, Detention Court, Specialty Court, Harris County Juvenile Probation Officers, and Youths’ Attorneys).
-Responsible for typing District and Detention Court orders as well as, tracking and maintaining a
database with copies of all orders.
-Presents results of psychological evaluations to Pre-Court Staffing on a weekly basis.
-Performs as a transcriber for the Psychiatric reports completed via dictation by the MD.
-Works collaboratively with The Harris Center, Harris County Juvenile Probation Department (HCJPD), Legacy Clinic, schools, or other community providers as a Release of Information Officer when requests are made for records.
-Functions as an Information consultant between the Harris Center Administration, Harris Center Forensic staff and HCJPD Administration.
-Provides unit support as the IT super user between the HCJPD database/computer and Harris Center access (KRONOS, Citrix, Intranet).
-Checks and distributes unit mail and emails daily for the Forensic Testing List.
-Responsible for ordering and maintaining office supplies as needed.
-Compiles and enters data for all employees’ leave time in KRONOS. Acts as a liaison with the agency regarding any KRONOS related issues. Submits monthly details of KRONOS data to the Forensic Division Budget Manager.
-Conduct monthly audits of clinicians' client files and assist with filing and record-keeping.
-Performs other related duties as assigned.
What qualifications you will need:
Education:
- High School Diploma or general education degree (GED).
Experience:
-2 years of progressive office/ administrative experience. 4 years preferred.
-2 years experience working with criminal justice
-2 years of transcribing experience from dictation
Required Knowledge, Skills & Abilities:
-Highly effective time management & organization skills, and ability to take initiative
-Must have well developed interpersonal, organizational, and collaborative skills with a desire to
provide a high level of customer service
-Possess strong verbal & written communication skills
-Strong knowledge Must demonstrate proficiency in of Microsoft Word, Excel, Access, Power Point, and Outlook
-Knowledge of HIPAA Privacy and Security Rules
-Possess good critical thinking, problem solving, and listening skills
-Must be able to work independently
-Bilingual English/Spanish preferred, but not required
