About the Role:  

We are seeking a detail-oriented Sales Operations and Proposal Specialist to serve as a critical bridge between our sales team and operational excellence. This hybrid role combines sales operations management with proposal development expertise, requiring someone who can both optimise our CRM systems and craft compelling responses to complex RFPs and RFIs.  

What will you be doing?  

CRM Management & Sales Operations  

  • Maintain and optimise CRM (Hubspot) database integrity, ensuring accurate and up-to-date customer information  
  • Generate sales reports, dashboards, and analytics to support decision-making  
  • Monitor sales pipeline and forecast accuracy, identifying trends and opportunities  
  • Develop and document sales processes and best practices  
  • Train sales team members on CRM functionality and proper data entry protocols  
  • Coordinate with cross-functional teams to streamline sales workflows  

Proposal Development & RFP/RFI Management  

  • Orchestrate the end-to-end RFP/RFI response process, from intake to final submission  
  • Collaborate with sales, technical, and subject matter experts to gather proposal content  
  • Write, edit, and format compelling proposal narratives that address client requirements  
  • Maintain a centralised content library of proposal boilerplate, case studies, and responses  
  • Ensure all proposals meet compliance requirements and submission deadlines  
  • Track proposal metrics including win/loss rates and identify improvement opportunities  
  • Develop templates and standardized processes to improve proposal efficiency  

About You: 

  • Sales Operations & CRM Expertise: 3–5 years of experience managing sales operations and proposals with advanced proficiency in HubSpot (or similar CRM platforms), ensuring 100% data integrity and actionable analytics. 
  • Proposal & RFP/RFI Management: Proven success leading end-to-end RFP/RFI responses using proposal automation tools or RFP software, consistently meeting compliance standards and improving win rates. Highly proficient in creating PowerPoint and visual presentations.  
  • Analytical & Data-Driven Insight: Strong data analysis and visualisation skills, leveraging Excel and other tools to translate complex sales metrics into clear, strategic recommendations. 
  • Communication & Collaboration: Exceptional written and verbal communication, enabling persuasive proposal content and seamless cross-department coordination in fast-paced B2B environments. 
  • Project & Time Management: Demonstrated ability to prioritize and manage multiple deadlines simultaneously, delivering high-quality documents and sales enablement materials on schedule. 
  • Technical Agility & Continuous Learning: Comfortable adopting new software platforms and sales enablement tools, quickly mastering emerging technologies to enhance workflow efficiency.
