The Billing Coordinator will be responsible for preparing, processing, and managing invoices, ensuring accuracy and timeliness in billing operations. This role requires strong analytical skills, attention to detail, and the ability to work collaboratively with internal departments and clients to resolve billing discrepancies.


ESSENTIAL DUTIES AND RESPONSIBILITIES   

  • Prepare pro formas, invoices, credit and debit memos in multiple systems.
  • Distribute invoices to clients and resolve invoice presentment issues.
  • Post invoices in client outside AP portals.
  • Review contracts, agreements, and financial documents to ensure accurate billing.
  • Review client aging to ensure payments are up to date; review opportunities to ensure all billing requirements before approving system sales opportunities for shipping.
  • Investigate and resolve billing discrepancies or disputes and RMA’s in a timely manner.
  • Work collaboratively with manager and team to resolve system importing errors.
  • Collaborate with the finance and sales teams to ensure correct pricing, terms, and conditions.
  • Maintain accurate billing records and update client information as needed.
  • Provide
  • Receive, review, verify the accuracy, and post state tax exemption forms; respond and work with internal and external clients to resolve related issues.
  • Stay up to date with industry billing and compliance requirements.
  • Provide excellent customer service by responding to billing inquiries professionally and efficiently.

Requirements

Required Education and Experience:


  • High school diploma required, Associate’s degree in accounting, Finance, Business Administration, or a related field.
  • Proven experience in non-medical billing, accounts receivable, or a related financial role.
  • Proficiency in billing software, accounting systems, and Microsoft Office Suite (Excel, Word, Outlook).
  • Strong numerical and analytical skills with attention to detail.
  • Excellent communication and problem-solving abilities.
  • Ability to multitask, prioritize workload, and meet deadlines in high-growth, fast-paced environment.
  • Familiarity with compliance standards and financial regulations.


Preferred Education and Experience:


  • Bachelor’s degree in accounting, Finance, Business Administration, or a related field.
  • Knowledge of industry-specific billing practices (e.g., healthcare, legal, construction, etc.).
  • Understanding of GAAP (Generally Accepted Accounting Principles).
