Fisher Phillips, a premier international labor, and employment law firm is seeking a skilled and experienced Receptionist/Office Services Specialist to join our team. In this essential role, you will contribute to the seamless operation of our services, providing crucial support to our department in delivering exceptional client service and maintaining our commitment to excellence.
Key Responsibilities
- Phone and Visitor Management: Answer phones, transfer calls, and occasionally take messages to ensure proper routing. Greet visitors in a friendly and helpful manner, maintaining a professional reception area and lobby.
- Member of National Reception Team (NRT): Answer phones and transfer calls as part of the NRT for multiple offices of Fisher Phillips.
- Mail and Package Handling: Accept and sign for packages, distribute incoming mail, and manage the processing of incoming faxes, including notifying recipients via email, logging, and distributing.
- Conference Room and Office Support: Schedule and set up conference rooms, ensuring readiness for meetings. Manage the office calendar system to keep meetings and events organized.
- Administrative and Secretarial Support: Assist with overflow secretarial tasks, including timesheet entry, document preparation and editing, and ensuring the library is up to date. Handle additional administrative duties as assigned.
- Office Equipment and Supplies Management: Ensure copiers and printers are filled daily and arrange for equipment servicing as needed. Coordinate the delivery of office supplies, including kitchen supplies and snacks, and manage the off-site document storage process, entering box information into the database.
- Communication and Coordination: Effectively communicate with clients, opposing counsel, vendors, and internal team members through concise, accurate written communication and confident verbal skills. Circulate daily courthouse news and maintain knowledge of attorneys' preferences in communicating with guests or callers.
- Project and Deadline Management: Keep appropriate personnel informed on project statuses, work progress, and deadlines. Respond to questions clearly and thoroughly.

Requirements
- Minimum of a high school diploma required (College degree is preferred, but not required).
- Minimum of five years of experience as a receptionist required.
- iManage or other comparable document management system, Word, Outlook, PowerPoint, Concur, and Excel.
- Possess basic PC skills; ability to use phone system, copier, scanner, fax, and printer.
- Ability to lift at least 50 lbs.
The hourly rate range for this position is $21.54 - $ 26.15. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
