The Health Information Management (HIM) Birth Registrar responsibilities include assisting with training new team members, birth certificate quality audits, management of birth certificate process. The responsibilities include completing the legal birth certificate for all babies born at affiliated Orlando Health facilities. This position is needed to assist the family with creating the child's birth record, request child social security card, update the name in the Epic system for insurance needs, and etc.

Shift: First - Thursday-Monday (Saturday and Sunday, 7am-3:30pm and Thursday, Friday, and Monday. 8:30am-5pm).

Responsibilities:
Essential Functions
• Understands and applies patient-level registration, update demographic information, and register discharged newborn.
• Assists with training and education of new team members.
• Assigns and distribute work among Birth Registrars.
• Assists HIM Management team with the quality assurance audits when needed.
• Acts as Notary Public witnessing signatures and certifying legal documents.
• Prepares, abstracts, and verifies birth log of the mother and newborn information from the medical record.
• Reviews Comprehensive Health Records for the background history of the parent/legal guardian and infant to complete Birth Certificate Questionnaire (BCQ).
• Assists parents with completing the Birth Certificate Correction/Paternity Amendment form when needed.
• Completes telephone interview with parent(s)/legal guardian(s) in timely and efficient manner; coordinate availability of Orlando Health’s Foreign Language interpreters for parent(s)/legal guardian(s) translation.
• Visits parents with completed birth certificate forms and informational packets for parents to review and sign.
• Confirms with non-legally married parents/legal guardians, the Acknowledgement of Paternity (AOP) forms have proper signatures and proper dates.
• Ensures birth information for the legal birth certificate are entered into the State of Florida’s Electronic Vital Registry System and are precise and complete.
• Completes all birth certificates and adjoining paperwork in a timely and efficient manner.
• Reviews birth certificates against paternity paperwork, when applied, to assure diligence.
• Reviews and proofreads birth certificate prior to sending them out to state registrar within the five-day deadline.
• Assists parent(s) completing the process for non-viable certificate.
• Updates baby’s name given by parent(s)/legal guardian(s) in the Comprehensive Health Record within timely manner.
• Screens patients for the Healthy Start Program.
• Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state and local standards.
• Maintains compliance with all Orlando Health policies and procedures.
Education/Training
• High school diploma or equivalent education.
• Computer literacy and keyboarding skills required.
Experience
• One year Health Information Management or customer service experience.
• Excellent communication skills.
• Excellent typing skills
