Bellarmine College Preparatory, a Jesuit secondary school, has been educating young “men for and with others” in the tradition of St. Ignatius Loyola, founder of the Society of Jesus, since 1851.
The Facilities Administration Manager is responsible for assisting, scheduling and coordinating all Pro-active and remedial facilities maintenance practices and programs for the school’s campus. This includes interfacing with all 3rd party Federal, State, County and Local inspectors and ensuring that the school maintains statutory compliance at all related levels. The Facilities Administration Manager will work in a team environment to ensure that the facilities are orderly, safe, well maintained and reflect a first-class appearance for students, employees and visitors.

Responsibilities:
- Effective oversight of the operation of all Facility related systems, including MEP (mechanical-electrical-plumbing) and Energy Systems (HVAC and lighting) and their related control systems (e.g., software-enabled BMS system controls)
- Act as a primary point of contact for all assigned physical plant–type service and inspections. This also includes associated troubleshooting and coordinating corrective actions, such as repairs, regular maintenance, warrantee issues, as well as any planned improvements
- Responsible for Pool and Co-Gen operations, which include maintaining pool chemistry, insuring adequate chemical inventory, regular water sampling and when necessary, implementing/coordinating approved corrective actions
- Administer an electronic ticketing system to report and effectively manage facility operational type requests in a timely manner
- Administers and monitors the Schools Irrigation, EV Charging, Solar PV, Cogen, Lighting and BMS systems to ensure effective and efficient operations. Identify, report any anomalies and follow up to ensure any corrective measures have been taken
- Leads the school’s safety committee, which includes regular building inspections process and summarizing such findings for the Director, and upon approval, insures prompt and complete corrective actions and follow-up with individuals affected and/or reporting such incidents
- Regularly report on Utility consumption, which includes associated CO2 emissions, and work towards the long-term goal of the school achieving carbon neutrality. This includes recommending potential measures to improve associated efficiency
- Monitor hazardous inventory levels on an ongoing basis, to include organizing periodic campus wide waste removal through an authorized 3rd party. Maintains and files all such records for periodic inspections
- Oversees the administration of the school’s Hazardous Material Business Plan, to include periodic online updates on the government website
- Assist the Director in overall equipment maintenance, to include annual safety inspections for all aerial lift equipment per OSHA standard
- Maintains appropriate logs to proactively support periodic California Air Resources Board inspections for generators, boilers, and co-generator
- Insures periodic and regular maintenance for all school vehicles and motorized equipment
- Manages all related office equipment (Desks, Chairs, etc) ordering and inventory levels
- Coordinates all office/departmental physical moves
- Continues to work towards implementing measures that reflect best practices, improve overall efficiency and eliminate/reduce operating waste
- Provides support for the Facilities Director
- Assist and/or perform facilities related tasks as assigned
Minimum Qualifications:
- Bachelor's degree from an accredited institution or equivalent work experience
- Extensive (5+ years) directly related facilities operational experience, including technical knowledge of building hardware and systems management and maintenance
- Construction experience as a foreman or superintendent would be a plus
- Working Knowledge and/or direct experience with plumbing, electrical, carpentry
- Demonstrated ability to establish and evaluate operational goals, policies and procedures
- Ability to balance workflow and responsibilities in a dynamic environment, to interact effectively with both academic and administrative staff clients, and to recognize their differing priorities and expectations
- Ability to maintain administrative and project management practices and internal control elements as part of accountability to management
- Proven ability to work in a multicultural environment with individuals and groups with a wide array of backgrounds, identities, life experiences, personality types and communication styles
- Demonstrated ability to prioritize assignments and independently organize work, demonstrate initiative and follow-through, meeting deadlines with minimal or no direction
- Ability to independently make sound judgments and decisions and to know when to defer to higher level for approval
- Excellent communication (verbal and written) skills in English, as well as tact and discretion in dealings with others
- Computer proficiency with Microsoft Office, including Word, Outlook and Excel
- Bi-Lingual (Spanish) a plus.
Physical Requirements:
- Physical requirements include frequent lifting/carrying 10-25 lbs., and 50-100 lbs. occasionally; visual acuity, speech, and hearing; subject to kneeling, crouching, crawling, climbing, walking, twisting, reaching, pushing, and balancing to perform the essential functions
- Operating power equipment, which includes but is not limited to, forklifts, tractors, trucks, mowers, blowers, tree pruning, and sweeping/vacuuming machines
- Working conditions include being outside with exposure to temperature variations; occasional exposure to insects, insect and animal bites, poisonous plants and hazardous chemicals
General Information:
- Compensation: $140,000 - $150,000; DOE
- This position is classified as a Regular Full-Time Exempt position; employees in exempt positions are expected to work as many hours as their job responsibilities require, which could include evenings and weekends
- Work hours are typically Monday through Friday from 7:00AM to 3:00PM
- This position is eligible to participate in Bellarmine’s excellent benefits package
- This is not a telecommuting position
