The Executive & Foundation Assistant Manager is responsible for for initiating, planning, and executing a broad range of executive-level projects while simultaneously providing support to the New Era Cap Foundation, the philanthropic arm of New Era Cap. This position will contribute to a high performing work culture and play a crucial role in aiding members of the Executive team by providing daily administrative support with high effectiveness and efficiency. Additionally, this role will also support project deliverables for the Foundation team.
Responsibilities
- Administrative Support: Provide daily administrative support to members of the Executive team ensuring all business meetings are flawlessly executed, including coordinating calendars, reserving rooms, and reviewing agendas. Assist with the set-up of board meetings, maintain inventory of the executive suite space, complete expense reports and oversee invoicing for the executive team
- Strategic Support: Act as a strategic partner to the Executive & Foundation teams, and provide proactive solutions to streamline processes and contribute to the company’s success. Provide clear, concise, accurate, and timely status updates on various projects. Conduct research, prepare reports, and handle sensitive information that influences company decisions
- Project Management: Assume ownership over small- and large- scale projects as directed by the Executive & Foundation teams. Identify and manage project risks, issues, and opportunities proactively. Ensure deliverables are on time, on budget, and high quality. Plan, organize, and oversee various tasks, resources, and key players for successful completion of projects
- Event Coordination: Assist the Foundation team with various events; including, but not limited to, the annual David C. Koch Golf Tournament, year-round employee volunteer opportunities, and other Foundation-led events, such as our International Women’s Day celebration. This includes event preparation, working with vendors, communicating with internal departments on various collateral and approvals, and post-event reporting
- Product Management: Along with the Foundation, assist the process in place around product donation inventory, requests, approvals, and recordkeeping. This includes working with internal teams to obtain product, reviewing requests from external groups, maintaining documentation for tax purposes, and order placement
- Communication Liaison: Prepare and edit written correspondence, reports and serve as a point of contact for the Executive & Foundation teams. Act as a liaison between the Executive & Foundation teams, other departments, employees, and external stakeholders. Assess, filter, and prioritize incoming information and requests for the Executive & Foundation teams to review, engage in high-level communication with internal and external stakeholders, and respond to inquiries and requests while maintaining strict adherence to clearance protocols, procedural guidelines, and organizational discretion
- Keep all sensitive matters confidential
- Other duties as assigned
Knowledge, Skills and Abilities
- Excellent organizational and time-management skills, with proven success in mastering prioritization and managing multiple tasks under high pressure with attention to detail
- Ability to work independently, show initiative, and proactively solve problems
- Strong interpersonal skills; ability to build rapport and leverage strategic partnerships with internal and external stakeholders to accomplish goals
- Ability to implement constructive feedback and willingness to augment approach to meet the evolving business needs
- Excellent written and verbal communication skills, with a high level of professionalism
- Enthusiastic, positive person who embraces work with a sense of urgency and persistence
- Adaptability to operate seamlessly between high-level computer work and tactical execution
- Comfortable performing physical tasks, including lifting up to 25 pounds
- Flexibility to work outside of core business hours as needed
Education and Experience
- Bachelor’s Degree in Business Administration or related field preferred additional experience will be considered in lieu of degree
- Three (3) to five (5) years of experience as an executive assistant, project manager or similar role supporting C-level executives
- Experience in a Nonprofit Management or relevant field required. Experience with project management, preferably in the consumer product industry and/or nonprofit sector
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, etc.) and Adobe Acrobat required
- Experience with Concur and SAP preferred

- The location for this position is 100% on-site in Buffalo, NY
- 0 to 10%; domestic and/or global
The salary range for this posted position is $60,000 - $80,000 (plus bonus & benefits) and pertains to candidates located in Western New York. Actual compensation will fall within this range and is determined by a wide array of factors including but not limited to skill set, education, essential job duties and requirements, and necessary experience.
