Job Summary
The Benefits and Leave Analyst is responsible for all aspects of Company Benefits Plans, including Health and Welfare Plans, 401(k) Plan, Worker’s Compensation, Leaves of Absence, Accommodations, and Corporate Wellness Program. This includes, but is not limited to continuous market analysis of competitiveness of company offerings, recommending and executing plan changes when appropriate, vendor management and maximization, employee communications, benefits vendor invoicing, monitoring and maintaining compliance with applicable laws and regulations, Open Enrollment Project Planning, system integration and enhancements, and internal and external audits. This position is responsible for continuous process improvement and documentation of Benefits related tasks.
Essential Duties and Responsibilities
- Management of all benefits related vendors, including initiating RFP’s as necessary, ensuring vendors are continuously meeting employee and company needs, maximizing the services performed by vendors, and resolving escalated vendor issues in a timely fashion
- Continuously monitor and ensure compliance with constantly changing legal requirements in the Benefits area, including ACA, ADA, DOL, ERISA, FMLA, OSHA, HIPAA, Child Support Orders, among others
- Manage all aspects of the annual Benefits Renewal, including reviewing competitiveness of benefits offerings, recommending plan changes, creating communication materials, programming HRIS system requirements, facilitating employee enrollments, auditing enrollment data and processing corrections as necessary, etc.
- Create, update, and maintain all Benefits Communication materials for various audiences (Open Enrollment, New Hires, Benefit Eligibility Changes, Terminations, etc.) in various forms (websites, written materials, Power Point presentations, etc.), ensuring communications meet employee needs and legal requirements
- Create, monitor and update as necessary system integration of benefits data with all applicable sources, including but not limited to enrollment data with individual carriers, payroll deductions of employee premiums, posting of employer costs in company financials
- Provide support to 401(k) Committee, including scheduling quarterly meetings, collecting and distributing meeting materials, attending meetings to answer technical questions and recommend plan changes based on market analysis of plan
- Manage all aspects of the annually required 401(k) audit, including scheduling meetings with internal stakeholders and auditing firm, providing documentation related to payroll and participant testing, facilitating timely completion of all necessary tasks to ensure timely filing of 5500
- Manage leaves of absence and accommodations for a multi-state workforce, ensuring compliance on the Federal, state, and local level, working with internal HR and legal and external legal contacts as necessary
- Manage required Worker’s Compensation activities, including working with Risk Manager on the annual renewal, acting as the main point of contact on the annual audit, acting as the liaison between employees and insurance carrier when claims arise, ensuring compliance with various posting requirements
- Create and roll out Corporate Wellness Program Initiatives in partnership with other internal stakeholders
- Oversee implementation of continuous process improvements in the Benefits areas
- Ensure employee questions, concerns and complaints are openly welcomed, considered, and appropriately responded to
- Assist international local contacts with international benefits needs
- Assist Senior Director, Global Human Resources in various initiatives.
Qualifications and Requirements
- Bachelor’s degree in HR, Business Administration, or related field
- 10 + years of job-related and progressive experience in human resources or adjacent field, including benefits management
- Proficient knowledge with all Microsoft Applications (Excel, SharePoint, PowerPoint, Word, Outlook, Project, Visio)
- Excellent computer skills
- Excellent problem-solving/analytic skills must be able to quickly learn new skills, systems and tools and train other users based upon skills learned.
- Strong verbal and written communication skills.
- Ability to work effectively in collaborative environment with minimum supervision. Excellent organizational, time management and work management skills are a must. Frequent interaction with other HR team members, key staff members and executives across organizational lines and the generational employee population will also be a component of this position, therefore excellent customer service skills and standards are necessary.
- Proven, effective interpersonal skills, able to present information, influence decisions to effectively resolve problems and issues as they relate to company standards, policies, procedures or applicable laws and regulations
- Knowledge of all applicable regulatory matters, including but not limited to ERISA, FMLA, ACA, COBRA, HIPAA, and state and federal payroll guidelines and laws
- Ability to organize and prioritize work, managing several projects simultaneously
- Ability to exercise discretion, confidentiality, and good judgement in interpreting and applying policies
- Experience working on International Benefits
