The Catering Coordinator is responsible for providing exemplary customer service to all individuals both internal (staff) and external (guests/visitors). Supports the internal operations of the organizations. The coordinator efficiently maintains the smooth operation of the office. This role is the face and voice of our company when a guest visits or contacts the Office, creating a welcoming environment that leaves a lasting positive impression.  


PRIMARY DUTIES AND RESPONSIBILITIES:

  • Responds to all incoming communications, including phone calls and emails, in a timely manner to include follow-up and problem-solving; routes phone calls as needed to the correct individual. 
  • Maintains office services by organizing office operations and procedures, assisting with correspondence, reviewing, and creating orders with vendors.
  • Keeps management informed by reviewing and analyzing special reports, summarizing information, and identifying communication or action needed.
  • Oversees incoming mail, sorting, and routing mail appropriately, this includes advising staff of any deliveries that may have arrived. 
  • Orders offices supplies and ensures sufficient volumes of office staples.
  • Managing payments for client events and coordinating with the Support Office to verify wire transfers.
  • Process bank deposits
  • Facilitates tours and schedules event tastings working with various departments and leaders. 
  • Creates and prepares event signage in alignment with brand standards (food labels, bar menu/signage, etc)
  • All Other Duties as Assigned

Requirements

QUALIFICATION REQUIREMENTS:

  • Demonstrated strong performance in analytical, innovative, and critical thinking, and collaboration.
  • Hours may very based on business needs

EDUCATION and/or EXPERIENCE REQUIREMENTS:

  • High school diploma or equivalent qualification; additional certifications or training in customer service is a bonus.
  • Minimum of one years’ experience in an office environment preferred. 
  • Proven experience in customer service or guest relations roles.
  • Proficient in office software, such as Microsoft Office Suite, Google Suite, etc.
  • Familiarity with Catering management (CRM) systems is a plus.
  • Knowledge of the hospitality industry.

PHYSICAL REQUIREMENTS:

  • While performing the duties of this job, the employee is:  
  • Regularly required to sit, talk, use repetitive motion, type, and hear.  
  • Frequently required to stand, walk, use hands and fingers to handle and feel, and reach with hands and arms.  
  • Occasionally required to bend, kneel, crouch, climb stairs, and reach overhead.
