Purpose: The ASC Business Office Manager provides daily oversight to the ASC Business Office staff who perform duties related to scheduling, billing, coding, insurance claims, accounts receivable, and patient financial services.

Essential Duties/Responsibilities

  • Manage the day-to-day operations of the ASC Business Office.
  • Ensures daily cash drawer reconciliation protocol and performs monthly audit of process.
  • Assures additional functions such as reception, answering telephone calls promptly and responding to voicemail messages is performed in a professional manner per established protocols (WILM and CARE).
  • Oversees financial clearance, working with provider office staff to coordinate pre-collection efforts.
  • Oversee revenue cycle management, monitor key performance indicators, and implement strategies to optimize reimbursement and minimize denials.
  • Develop and maintain relationships with payors and vendors to ensure accurate and timely processing of claims and receipt of payments.
  • Enforce established policies and procedures related to billing, coding, and compliance with regulatory requirements, such as HIPAA and CMS guidelines.
  • Supervise and train ASC Business Office staff, ensuring their adherence to best practices, quality standards, and customer service excellence.
  • Collaborate with clinical staff and management team to streamline processes, improve operational efficiency, and enhance overall revenue performance.
  • Attend periodic training sessions and meetings pertinent to position.
  • Conduct regular audits and reviews to identify areas for improvement and implement corrective actions as necessary.
  • Stay current with changes in healthcare regulations, coding guidelines, and ASC reimbursement policies to ensure compliance and maximize facility revenue opportunities.
  • Performs month end close activities.
  • Work with the Director to prepare and analyze financial reports, budgets, and forecasts, and present findings to the management team as necessary.
  • Works with Director and other support team members to maintain charge description master and self-pay fee schedule.
  • Interview potential candidates for open positions. Ensure effective orientation and training of new staff on ASC business office policies and procedures and continuing education for existing staff.
  • Conduct regular staff meetings with ASC Business Office Staff, relaying pertinent information and creating opportunities to discuss ongoing challenges as a group, garnering ideas for resolution.
  • Deliver disciplinary action as needed in conjunction with Human Resources department.
  • Demonstrates respect of confidential and sensitive information, understanding and honoring lines of accountability and communication.
  • Adheres to all HIPAA privacy and security policies and practices.

QUALIFICATIONS

Required:

  • Bachelor’s degree in healthcare management, business administration, or related field, or equivalent facility revenue cycle management experience.
  • Minimum of 3 years of supervisory experience.
  • Knowledge of medical billing and coding, insurance verification, and collections practices.
  • Strong leadership skills.
  • Excellent communication skills and ability to work collaboratively with other departments.
  • Detail-oriented and able to analyze and interpret data to identify areas of improvement.
  • Familiarity with healthcare laws, regulations, and insurance policies.
