The Georgia Department of Human Services (DHS), Division of Family & Children Services (DFCS) is seeking candidates for the position of Administrative Support 3 (Facilities Clerk). Individuals will be responsible for managing the mailroom and supplies. Individuals will assist with daily facilities management and assist with special projects within the region. Individuals will process postage of USPS mail and sort interoffice mail and USPS mail to deliver to appropriate sections. Individuals will also process supplies, invoices, deposits, and receipts and checks received. This position is located in DeKalb County, Georgia.

Position Duties

Pay Grade: E

Under broad supervision, performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel. May enter data and/or process documents and records. The work includes operating standard office equipment.

Job Responsibilities

  • Operations/Facilities/Mailroom 
  • Assist with daily operations of assigned building
  • Marta/Ross Card tracking distribution
  • Assign/ Manage keys for building.
  • Create/Issue/Manage Badge Distribution for new/current staff 
  • Update/Manage Emergency Management Preparedness Logs for compliance with Continuity of Operations Plan
  • Process invoice via PO process
  • Conference room management/assignment
  • Seating/phone chart tracking for Continuity of Operations Plan
  • Enterprise car tracking and monitoring, reservations and distribution of keys
  • Ordering and distribution of supplies
  • Run/post mail daily, deliver and sort USPS, receive packages from vendors.
  • Check receipting and bank deposits 
  • Back up to courier for region 
  • Point of contact for facilities issues/concerns, ensure compliance with DOAS.

Minimum Qualifications

  • High school diploma/GED and three (3) years of progressively complex office or administrative experience.

Preferred Qualifications: 
Preference will be given to candidates who, in addition to meeting the minimum qualifications, demonstrate some or all of the following skills/experience. 

  • Excellent communication skills for customer contact and interaction.
  • Computer skills that include strong proficiency in the use of Microsoft Office Suite, especially Excel for spreadsheet knowledge
  • Adding machine
Special Requirements

  • Must have a valid state-issued driver’s license and an acceptable driving history record.
