What is the opportunity?
We have an exciting opportunity for an Administrator to join the Adviser Skills and Competence team. This role can be based out of any of our RBC Brewin Dolphin UK offices.
The Learning and Development Administrator provides essential administrative and coordination support to the Client Skills team. This role ensures the smooth planning and delivery of training programmes, workshops, and initiatives by managing schedules, resources, and communication. This role is about making the learning and development function run smoothly — enabling trainers and consultants to focus on designing and delivering impactful learning, while the administrator ensures everything is well-organised behind the scenes.
RBC’s expectation is that all employees and contractors will work in the office with some flexibility to work up to 1 day per week remotely, depending on working arrangements.
What will you do?
- Administrative Support
- Maintain and update training records, attendance, and evaluation data.
- Prepare training materials, presentations, and documentation.
- Act as the first point of contact for general L&D enquiries.
- Manage diaries and schedule meetings for team members, ensuring efficient use of time.
- Coordinate internal and external appointments, workshops, and training sessions.
- Book training rooms, venues, and required equipment.
- Coordinate invitations, joining instructions, and pre/post-session communications.
- Liaise with suppliers, facilitators, and internal stakeholders to ensure smooth delivery.
- Support the use of Learning Management Systems (LMS) and other digital platforms.
- Run reports and assist with tracking training completion and compliance.
- Assist with budgeting and invoicing (e.g., raising purchase orders, processing expenses).
- Provide general support to the L&D team on ad hoc projects.
What do you need to succeed?
Must-have
- Exceptional attention to detail, consistently working to high standards of output and quality with a focus on accuracy in data management and reporting.
- Ability to communicate effectively with people at all levels of the organisation, including verbal and written communications.
- Excellent organisational skills, with the ability to manage multiple tasks and prioritise effectively while working on your own.
- Ability to resolve issues creatively and in a timely manner.
- Comfortable working in a fast paced and dynamic environment.
- Ability to learn quickly how to work with new systems, implementing and evolving these to deliver effectively.
- Team player who enjoys working closely with others to problem-solve and explore potential solutions.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and ideally familiarity with learning management systems (LMS) or other online training platforms.
- Ability to work independently and collaboratively in a fast-paced environment.
- An understanding of industry-specific training and competence requirements is a plus.
- An ability to read and analyse data. (Looking for trends, highlighting and reporting on these).
