Description

The Logistics and Special Events Supervisor (LSES) is responsible for the coordination, procurement, and oversight of supplies, facilities maintenance, vehicle compliance, and licensure across all company locations. The LSES also will serve as the primary contact for all organizations requesting standby services from Medic One and shall be responsible for contracting and staffing all standby events.

 

 This role ensures operational readiness by maintaining supply chains, reviewing invoices, and coordinating building upkeep. Additionally, the Supervisor provides comprehensive logistical support for company-sponsored events, ensuring successful execution from planning to breakdown.

 

The position requires strong organizational skills, attention to detail, and the ability to balance daily operational needs with large-scale event logistics.

 

 

Role and Responsibilities

Procurement & Supply Chain Management

  • Order and manage all organizational supplies, including vehicles, cleaning, household, and office supplies.
  • Maintain inventory levels across multiple locations and implement tracking systems to prevent shortages, and or overages.
  • Negotiate vendor contracts, monitor performance, and ensure timely and cost-effective procurement.
  • Minimize supply costs
  • Work in coordination with other WLRC medical affiliates POC for logistics, to utilize corporate buying powers.
  • Ensure accurate chain-of-custody records for sensitive items, including medications, controlled substances, and PPE.
  • Oversee the ordering, safe handling, and compliant disposal of biohazard equipment in accordance with regulatory standards.
  • Handle preventive maintenance (PMs) on medical equipment such as monitors, AEDs, pumps, etc., ensuring PMs are completed, repairs are conducts, and accurate records are maintained for all durable equipment, including location tracking.

Facilities Oversight

  • Supervise the maintenance and repair of all company buildings and facilities.
  • Coordinate with contractors and service providers for facility upgrades, repairs, and compliance inspections.
  • Ensure all facilities are safe, operational, and in compliance with regulatory standards.

Vehicle & Compliance Management

  • Manage and process all vehicle registrations, license plates, and tag renewals.
  • Ensure proper licensure and compliance for all service locations and ambulances.
  • Maintain accurate compliance records and prepare documentation for audits or inspections.
  • Maintain responsibility for all corporate fuel cards, accountability, usage, and replacement.
  • Identify and escalate potential compliance risks, safety hazards, or deficiencies to Senior Management and participate in risk mitigation planning.
  • Oversee narcotic management, including secure storage, controlled counts, and documentation with all required paperwork to ensure compliance with regulatory standards.

Invoice & Financial Review

  • Review and verify accuracy of invoices, including utilities and supply invoices, excluding vehicle maintenance invoices.
  • Ensure all invoices are approved or rejected and forwarded to corporate finance, within 3 business days of receipt.

Special Events Coordination

  • Lead logistics planning and execution for company events, including training sessions, recognition events, and community outreach activities.
  • Coordinate event setup, supply acquisition, vendor engagement, and teardown.
  • Serve as the on-site supervisor for event logistics, ensuring smooth operations and issue resolution.
  • Ensure adequate staffing for all special events, utilizing special event employees and minimizing overtime usage in staffing. 
  • Ensure contracts and payment terms in alliance with corporate standby policies for all standby events.
  • Ensure that insurance, permits, safety, and compliance requirements are obtained and maintained for all special events. 

Quality Assurance & Improvement

  • Participate in QA/OI programs related to logistics, including equipment failures, expired supplies, and safety incidents.

Leadership & Collaboration

  • Supervise logistics-related staff or contractors when applicable.
  • Collaborate with cross-functional teams to ensure operational needs are met at all base locations.
  • Serve as a resource for supply requests, event needs, and compliance questions.
  • Act as an EMS provider on special events, and or in time of recall as part of leadership (weather events, special events, etc).

Other Duties

  • Maintain records, reports, and documentation related to logistics, facilities, and compliance.
  • Perform other duties as assigned by leadership.

Qualifications and Education Requirements

Education & Experience

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Logistics, or related field preferred.
  • Minimum of 1 year of experience in logistics, facilities management, procurement, or event coordination.
  • Must be at least 19 years old at time of hire for insurance purposes.
  • Current NREMT and State EMT (or ability to obtain within 10 days of hire).
  • Successful completion of a state sponsored EVOS course or ability to obtain in 90 days.
  • Current AHA BLS CPR or ability to obtain within 10 days of hire.
  • Ability to provide quality patient care within scope of practice.
  • Knowledge of all state protocols for an EMT.
  • Ability to lift, twist, carry, lean, and reach with objects weighing up to 150-200 pounds, utilizing proper body mechanics and/or equipment as required.
  • Ability to speak, read, write English.
  • Supervisory experience preferred.
  • Must keep all required credentials current and in compliance with company policy.

Background Check and Driving Eligibility

  • Employment is contingent upon successful completion of a pre-employment background check, that includes local and federal checks and drug screening.
  • Candidates must possess and maintain a valid driver’s license.
  • Driving eligibility will be determined through review of the candidate’s motor vehicle record (MVR) and must meet company and insurance carrier standards. This includes but is not limited to no suspensions in the previous 3 years or major moving violations.
  • Continued employment requires maintaining insurability under the company’s auto insurance policy.
  • The company reserves the right to conduct periodic or random reviews of background, driving records, and drug screening throughout employment.
  • Loss of insurability, failure to maintain an acceptable driving record, or findings from background checks may result in reassignment, disciplinary action, or termination.
  • Ability to drive company vehicles with a clean driving record.

Knowledge, Skills, and Abilities

  • Strong organizational and time-management skills with the ability to handle multiple priorities.
  • Knowledge of supply chain processes, facility operations, and compliance requirements.
  • Skilled in vendor management, negotiation, and cost control.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook) and basic inventory management software.
  • Excellent interpersonal and communication skills; ability to interact with staff and vendors
  • Problem-solving mindset with the ability to anticipate logistical challenges and implement solutions quickly.

Physical and Additional Requirements

  • Ability to sit, stand, and walk for extended periods.
  • Must be able to travel between base locations and event sites as required.
  • Occasional hours required to support special events.
