Position Overview:
NACS is seeking a personable and welcoming Front Desk Coordinator to be the face of our organization. In this role you will serve as the first point of contact for visitors and callers, greeting guests with a positive attitude and ensuring prompt, courteous responses to incoming phone calls and voicemail messages..
You will also manage incoming and outgoing mail, assist with maintaining the customer database, and provide essential administrative support to help keep our operations running smoothly. The ideal candidate is approachable, service-oriented, and thrives in a dynamic environment.
This is a nonexempt position under FLSA guidelines. This position will report to the Head of Customer Data & Administrative Services and is based onsite at NACS Headquarters in Alexandria, VA.
Scope of Responsibilities:
- Greet and assist all guests upon arrival at the NACS office.
- Handle telephone inquiries and return messages promptly.
- Support the meetings team with room setup and coordination of catering needs.
- Sort and distribute incoming mail and packages.
- Prepare and send outgoing mail, including letters and packages.
- Deposit checks received at the NACS office, following approval protocols.
- Stocking all galleys and coolers with beverages and other supplies.
- Replenish paper and supplies at printer stations.
- Assist with supply inventory and place special orders as needed.
Assist with updates and maintenance of the customer database, as time permits.
Requirements:
- High school diploma or equivalent
- 0-1 year of professional office experience in an administrative, customer service, or hospitality role is a plus.
- Excellent verbal and written communication skills.
- Strong organizational skills and keen attention to detail for managing supplies and mail.
- Proactive and enthusiastic team player.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Ability to be on your feet occasionally for tasks like stocking galleys, setting up rooms, and distributing mail.
- Ability to lift and move up to 25 lbs. (e.g., boxes of paper, supplies, and catering items).
