The Quality Supports Administrative Assistant provides critical support to Outreach and Quality Enhancement department, ensuring efficient operations and maintaining high-quality standards. This role is responsible for various administrative tasks, data management, and communication, contributing significantly to the department's success. Position reports to the Vice President of Quality Supports.

Job Responsibilities
• Perform duties associated with Quality Enhancement: track Notice of Compliances, Statement of Deficiencies, and approved Plan of Correction. Enter POCs and NOCs in ICM.
• Send daily on-call nursing log to all programs and supporting departments. Follow up with programs to submit incident reports.
• Procure necessary document requests from external organizations such as but not limited to Office of Health Care Quality and Developmental Disabilities Administration in a timely manner.
• Maintaining, planning, and scheduling certifications, workshops, and compliance related documentation.
• Organize and maintain files on Family Fund Applications.
• Enter demographic and basic information into iCare Manager for new admissions.
• Scribe meeting minutes in Admission, Review & Discharge meetings. Adding follow-up as informed to the Director of Outreach.
• Assist Outreach department with Adopt-A-Family process.
• Identify, track, and follow up prior to DHCA Medication Errors submissions.
• Scheduling follow ups
• Complete all agency required training for position.
• Collaborate with all Arc departments and staff as well as other agencies.
• Maintain closed files and provide records as needed.
• Perform other duties as assigned by supervisor.
Qualifications
Required:
• 2-3 years of administrative experience required.
• Must be at least 18 years of age.
• High school diploma or G.E.D required.
• Valid driver’s license (not provisional) with a clean driving record and reliable transportation required.
Preferred:
• Experience working in the Human Services field preferred.
Knowledge, Skills and Abilities
• Excellent communication and customer service skills.
• Proficient with computer software programs; Microsoft Word, Excel, Power Point, Publisher, and Outlook.
• Operating office equipment including printers, copiers, and multimedia instruments.
• Outstanding organizational and time management skills necessary.
• Must work effectively within a team environment.
Working Conditions
• The position is classified as Light Work: It involves sitting most of the time with a small degree of pushing/pulling of arm or leg controls.
• Flexibility in availability outside of normal work hours.
• Lifting 20 lbs. maximum with infrequent lifting or carrying of objects weighing up to 10 lbs.
• Must be available by use of a personal cell phone.
