Job Summary:

 The Statewide Operations Manager maximizes organizational efficiency across the CBYCS division at the Gándara Center.  The purpose of this role is to ensure that services meet established quality standards by examining, testing, and analyzing them to identify areas for improvement.  As a member of our leadership team, the Statewide Operations Manager will work closely with the division VP, Regional and Statewide Program directors, to ensure that processes are followed, and standards are met throughout the division.

 Duties and Responsibilities:

  • Will collect data and distribute outcomes to the Division Vice President. 
  • Will support the Regional Directors and Program Directors to identify and correct processes and/or data-related concerns that can improve outcomes. 
  • Update and format all policies and Procedures.
  • Will sit as a part of the CQI committee and lead CQI initiatives for the CBYCS division.  To include COA accreditation, Logic Models, Outcomes and Outputs, and Training Tracking.
  • Support with EHR concerns and lead the forms modification processes as needed.
  • Audit cross-program and program-specific procedures to ensure compliance standards are being met.
  • Oversee monthly CQI measures like monthly quality calls.
  • Will work closely with the CBYCS Regional Director and Program directors as needed to report on quality measures for each program within the division.
  • Will provide training to front-end and billing staff, as well as directors, as needed.
  • Analyze quality metrics.
  •  Promote a culture of quality.
  • Attend any administrative billing meetings.
  • Will take minutes/ meeting notes as necessary.
  • Ensures that statewide offices meet agency expectations and make changes as needed in collaboration with the office manager/or designee. (Office environments follow up with Safety Inspections, Drills, and any concerns that are not being addressed in a timely manner)
  • Support the billing department as needed with investigating and resolving insurance issues. 
  • Collaborates in special projects as requested.
  • Support the training process statewide to ensure that all programs are meeting their training requirements. 
  •  Work closely with the Relias manager to ensure that cases are being assigned appropriately.
  • Work closely with the Icentrix manager to ensure that data is accurate. 

Minimum Qualifications:

  • Associates or Bachelor's Degree in a related field and two (2) years of experience.
  • Strong leadership skills.
  •  In-depth knowledge of quality management systems and standards.
  • Strong understanding of community-based mental health and 3 party billing. 
  • Strong analytical and problem-solving skills to identify quality issues and implement solutions.
  • Excellent communication abilities and the ability to manage multiple projects while ensuring compliance with industry regulations.
  •  Proficient in Microsoft Office (e.g., Word, Excel, PowerPoint).
  • Flexibility to work varied hours, including evenings as required.
  • Ability to work with the target population. 
  •  Ability to structure and organize job responsibilities with minimal supervision.
  • Demonstrates good verbal and written communication skills.
  • Displays sound judgment.
  •  Ability to provide goal-oriented services. 
  •  Works well as a team member.
  •  Bilingual (Spanish/English)
