Representative Responsibilities of this Position:

Lower School Assistant:

  1. General Office Duties: 
    1. Meet and greet everyone coming to the Lower School: Visitors, students, parents/guardians, and faculty/staff. 
    2. Monitor South entrance: unlock/lock main entry door, screen and assist visitors, manage sign-in.
    3. Assist with Admissions visitors.
    4. Answer and resolve all phone calls and emails; do filing and copying; collect and distribute forms. 
    5. Maintain office equipment and supplies. 
    6. Compile LS employee lists: phone numbers, addresses, etc. 
    7. Compile, copy, and distribute mailings to Lower School parents/guardians. 
    8. Manage email communications to Lower School parents/guardians. 
    9. Problem solve and proactively prepare for the months coming ahead knowing our work is seasonal.
  2. Utilize Technology and Student Databases:
    1. Maintain student database.
    2. Type and proofread as needed for the Lower School Director.
    3. Maintain student records, including filing, updating with testing results and report cards, and managing cumulative files. Request and forward records for new and transferring students.
    4. Manage and distribute report cards. 
  3. Scheduling: 
    1. Maintain calendar for Lower School Director: schedule appointments, monitor updates. 
    2. Assist Lower School Director with scheduling: enter and print schedules, enter updates, other tasks as assigned. 
    3. Assist parents/guardians and faculty with conference scheduling and blocking. 
    4. Assist Student Support Team: scheduling, copying, and distributing reports.
  4. Daily Tasks: 
    1. Attendance: issue passes for late arrivals and appointments, coordinate students leaving early, communicate with parents, compile daily attendance, and report to staff. 
    2. Track student tardies and absences. 
    3. Provide support and act as back-up to the Nurse: periodically as needed. 
    4. Deliver messages for staff and students. 
    5. Assist students as needed. 
    6. Monitor Lost and Found.
  5. Other Tasks: 
    1. Provide additional support to the Parents Association: copy and distribute flyers, and email communications. 
    2. Monitor all materials posted in the Lower School area. 
    3. Support Lower School hiring process: process and compile resumes, candidate communications, and interview scheduling. 
    4. Attend staff and all-employee meetings. 
    5. Provide support for events: requesting tables/chairs/food, marking seating in the Nicholson Center, print name tags for Pairing Assemblies

 

Marketing Coordinator:

  1. Advance the mission, vision and values of Mounds Park Academy.
    1. Be present where needed, ready to work as needed to meet responsibilities.
    2. Supervise and maintain informal contact with students and staff members in the commons, hallways, classrooms, etc.  
    3. Ensure the safety of students and be prepared to respond to or manage a crisis (e.g., fire alarm, building evacuation or lock-down, etc.)
  2. In partnership with the director of admission and communication, the communication coordinator, and the webmaster, lead the implementation and scheduling for all integrated external marketing strategies and tactics aimed at prospective families including, but not limited to:
    1. Website
    2. Blog 
    3. Digital Publications
    4. Print Materials
    5. Advertising (print, outdoor, radio, digital)
    6. Admission Events
    7. Share MPA Network
  3. Exercise wise and prudent fiscal oversight.
    1. Monitor the marketing budget to maximize effectiveness.
  4. Be an active, positive, and contributing member of Mounds Park Academy
    1. Display high integrity at all times and be a role model for students.
    2. Communicate respectfully and effectively following the Respectful Discourse Policy with parents, students, teachers, staff, administration, visitors, and volunteers.
    3. Support and facilitate the initiatives of the MPA strategic plan and positively contribute to school-wide committee work.
    4. Support colleagues and demonstrate leadership with peers.
    5. Understand and fulfill all aspects of employee handbook.
    6. Maintain appropriate boundaries with students.

 

This role may perform other duties and assume other responsibilities as requested by the Director of Enrollment Strategy and Communication, Lower School Director, Head of School or as deemed necessary for safe and efficient operation of the school in order to fulfill the mission of Mounds Park Academy, including but not limited to coverage when the communications coordinator is absent.

PHYSICAL AND MENTAL DEMANDS 

While performing the duties of this job, the employee is frequently required to sit, speak over the phone and with incoming visitors, and use a computer for extended periods throughout the day. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move or pull up to 10 pounds while moving files and small packages or plastic bins. Specific vision abilities required by this job include close vision and the ability to adjust focus.

WORKING ENVIRONMENT 

Work is performed in an office/school environment. The noise level in the work environment is usually mild-moderate, although it can get noisy as students transition classes. The work environment characteristics described here are representative of those individual encounters while performing the essential functions of this position. 

 

Minimum Qualifications 

  • High school Diploma 
  • Two-year associate’s degree preferred. 
  • Three years of Administrative Assistant experience 
  • Ability to communicate effectively orally and in writing, excellent customer service skills, and detail-oriented. 
  • Strong computer skills: knowledge of Microsoft Outlook, Microsoft Office, Excel, PowerSchool or similar database management systems. 
  • Ability to multitask, work independently, and prioritize workload. Able to manage confidential information. 
  • Calm, pleasant demeanor. Good common sense, friendly, and patient.
