The Corporate Services Coordinator, under the direct supervision of the Corporate Services Manager, is responsible for the efficient operation of the mailroom, including inventory management, mail distribution, and coordination of printing needs. They will ensure timely and accurate handling of all incoming and outgoing mail and packages, maintain mailroom equipment, and serve as a liaison between internal departments and external vendors. The Corporate Services Coordinator will also assist with facilities management and supply stock maintenance.
Essential Job Responsibilities Include:
- Manage all incoming and outgoing mail and packages, ensuring timely distribution to appropriate departments.
- Conduct quality checks on materials produced internally and coordinate external printing tasks with various departments.
- Collaborate with Client Onboarding, Business Development, Marketing, and Account Management teams to prioritize and produce client materials.
- Maintain inventory of mailroom-related items and coordinate restocking activities as needed.
- Serve as an internal resource for other departments with mail, shipping, and print needs.
- Work directly with couriers, vendors, shipping partners, and postal services to facilitate efficient delivery of company-related materials.
- Ensure proper functioning of all mailroom machinery and coordinate service and repairs as necessary.
- Act as a point of contact for internal and external inquiries regarding facility and supply issues.
- Serve as a liaison between RxBenefits and building management company for facilities-related matters.
- Assist with restocking and maintaining supply rooms and break areas.
- Demonstrate proactive approach to daily tasks and projects, fostering a culture of efficiency and organization.
- Assist with special projects as needed.
- Perform other related duties as assigned.
Required Skills / Experience:
- High School Education
- Minimum 1 year of experience in a mailroom setting or equivalent.
- Excellent communication skills with the ability to interact effectively with all levels of management and external partners.
- Proficiency in Microsoft Office suite (Word, Excel, Teams, Outlook) and Adobe software.
- Ability to thrive in a dynamic, fast-paced environment with multiple simultaneous projects.
- Strong multi-tasking skills
- Proactive and highly organized with strong written and verbal communication skills.
- Customer-focused with a strong 'can-do' attitude.
Preferred Skills/Experience:
- Facilities experience preferred
- Experience with Salesforce and JIRA software preferred
- Experience working with PHI/HIPAA information
Based on relevant market data and other factors, the anticipated hiring range for this role is $37,960 - $42,000 annually. Final compensation rates will be determined based on various factors, including but not limited to experience, skills, knowledge, and internal equity considerations. This role is also short-term incentive eligible. Incentive amounts will vary by individual and business goals.
