Participates in job training and professional growth opportunities in order to enhance ability to perform the essential functions of the job.
Performs other related duties as assigned for the purpose of ensuring an efficient and effective work environment.
Conducts regular and comprehensive audits of personnel files for both certified and non-certified staff to ensure full compliance with all statutory regulations, district policies, and applicable school codes.
Oversees and manages the complete lifecycle of all personnel records, including the implementation of established retention and destruction schedules in strict accordance with the Local Records Commission and the Illinois Secretary of State.
Acts as the primary point of contact for I-9 compliance, including regular audits, discrepancy resolution, and the implementation of best practices to ensure all documentation is accurate and legally compliant.
Prepares and submits personnel actions for specific differentials and hourly positions to the Board of Education, ensuring accuracy and compliance with district policy.
Serves as a liaison for legal records requests, providing timely and accurate information while maintaining the utmost confidentiality and security of sensitive data.
Performs data entry and maintenance within the Human Resources Information System (HRIS), ensuring the accuracy and integrity of all personnel data.
Leads the project to clean up and organize historical inactive personnel files and prepare for the eventual digitization of all personnel records.
Proactively monitors and reports on personnel documentation and record-keeping compliance, providing strategic recommendations to human resources and legal leadership.
Provides expert assistance and information regarding personnel records to internal departments and external inquiries, scheduling file reviews, and coordinating appointments as needed.

PURPOSE OF THE POSITION: This position is responsible for the maintenance and preparation of all personnel files, filing personnel documents and tracking of information.
SUPERVISORY RESPONSIBILITIES: None
DUTIES AND RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. In addition to the requirements listed below, regular attendance is an essential function of this position.
QUALIFICATIONS: High School Diploma or equivalent required. Bachelor’s degree from an accredited college or university preferred.

WORK CALENDAR: 12-Months
WORKING CONDITIONS: Moderate in-district travel as well as intermittent in-state and out-of-state travel. Intermittent prolonged and irregular hours of work.
