• Provide administrative support for Legacy staff as needed
• Perform all 'opening' and 'closing' procedures per receptionist's manual
• Receive all incoming telephone calls and visitors to the agency. Determine nature of their business and handle accordingly
• Process all incoming and outgoing mail, UPS shipments & certified mail requests
• Continually monitor incoming faxes and voicemails & distribute per established procedures
• Prepare binders and spiral documents as requested
• Daily scanning of policy documents in OCR format
• Create binders for policies and renewal certificates as needed
• Carrier Websites- monitor and distribute the electronic mail on a daily basis
• Take inventory on a regular basis & order all office & kitchen supplies, snacks and coffee; check incoming orders for accuracy
• Assist in the ongoing maintenance of the Admin Procedures Manual
• Maintain all common areas and the Bistro; replenish coffee, tea, snacks and kitchen supplies
• Create monthly calendars for distribution
• Facilitate preparation and set up for Company meetings and functions
• Perform special projects as needed and other duties as assigned or requested
• Upon receiving policies, mail or email, process per established procedure.
• Perform initial policy checking, loss runs, flood zone determinations, MVRs, certificate holder lists, ITVs etc
• Generate Invoices in Epic System

High school diploma and a minimum of 2–4 years of administrative experience in a professional office environment is required.
Must demonstrate the ability to write free of punctuation or grammatical errors.
Demonstrates ability to operate agency management system and possess an intermediate to advanced skill level in Microsoft Office, including Word, Excel, and PowerPoint.
Must be able to operate a variety of office equipment (copier, printer, scanner, telephone, and mail machine).
Must be able to work in a fast-paced environment with the ability to prioritize the workload and meet deadlines.
A professional demeanor and customer focus are crucial skills for this position.
Demonstrates ability to read and interpret documents such as policies, forms, and insurance-related material.
Demonstrates ability to review and proofread work for accuracy and complete specific aspects of assignments, as directed.
Demonstrates ability to maintain good organizational skills and meet deadlines.
This job is expected to be performed on-site in the office.

Salary range is $59K to $61K per year.
