Description
The Sales Support Representative will provide critical assistance to the sales team by managing day-to-day customer requests, processing orders, and coordinating with internal departments to ensure seamless execution. This position is ideal for a detail-oriented, customer-focused professional who thrives in a fast-paced environment and wants to contribute directly to supporting U.S. military and adjacent government agencies.
Core Functions of the Role:
Customer & Sales Support
- Serve as a key connector across departments (sales, operations, finance, logistics) to keep information flowing and ensure customer satisfaction.
- Be the primary point of contact for inbound customer inquiries, quotes, and order requests.
- Support Internal Sales Account Managers and Outside Sales Representatives with proposal development and bid submissions.
- Monitor government bid boards and contract portals to identify relevant opportunities and proactive updates to the sales team for pursuit decisions.
- Prepare and process purchase orders, ensuring accuracy and compliance with customer and contract requirements.
Order & Contract Management
- Support proposals, quotes, and orders with accuracy and speed — making sure the team delivers on time, every time.
- Track open orders, provide status updates, and resolve issues proactively.
- Maintain knowledge of General Services Administration (GSA), Indefinite Delivery, Indefinite Quantity contracts (IDIQs), Blanket Purchase Agreements (BPAs), and other government contract vehicles.
- Update Customer Relationship Management (CRM) systems with accurate customer, order, and pipeline information.
- Maintain structured records and compliance documentation to support defense industry standards.
Collaboration & Communication
- Work side-by-side with Area Market Directors, Account Representatives, and members of the Executive Team as the team’s central point of coordination.
- Proactively share updates with teammates and customers, so everyone stays aligned.
- Assist in coordinating quotes with vendors and Original Equipment Manufacturers (OEMs) to ensure competitive pricing.
- Provide proactive communication to both customers and internal teams.
Reporting & Analytics
- Generate and organize sales and pipeline reports that provide the Inside Sales Account Manager and Head of Strategic Growth for Military and Defense with clear, actionable data to support decision-making and drive growth in the defense market.
Requirements

- Associate or bachelor’s degree preferred; equivalent military or industry experience considered.
- 1–3 years of experience in customer service, sales support, or order management (defense/government contracting a plus).
- Elite attention to detail, organizational skills, and follow-through.
- Extremely strong with Customer Relationship Management (CRM) platforms and Microsoft Office Suite.
- Ability to manage multiple priorities in a demanding environment.
- Excellent communication and people skills.
- Familiarity with defense contracting processes, Federal Acquisition Regulation (FAR)/Defense Federal Acquisition Regulation Supplement (DFARS) regulations, or government procurement, preferred.
- Experience supporting General Services Administration (GSA), Total Life Cycle Systems Management (TLS), or similar contract vehicles, preferred.
- Background in defense industry sales support, preferred.
Education and/or Experience: Associate or bachelor’s degree preferred; one to three years related experience and/or training; or equivalent combination of education and experience.
Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
