The Role:

  • Raise new contract purchase order requests for Landsec suppliers and service partners.

  • Collaborate with the Workplace team to update pending contract purchase orders.

  • Raise new Contract Variation Orders (CVO’s)

  • Receipt all CVO, contract Purchase Orders and Aspire purchase orders.

  • Meet with Aspire Service Partners to ensure all required POs are processed and no approvals remain outstanding.

The Team:

Work with the Aspire Systems and Quality Manager to administer and process Reward and Recognition payments on time for Aspire Service Partners.

Location:

Based in the heart of Victoria, our Helpdesk team provides support to customers across London and Manchester. 

What you will be responsible for:

  • Assist with generating weekly open purchase order reports.

  • Provide regular updates to suppliers on invoices receipted and awaiting payment.

  • Plan and work around financial timelines, ensuring all deadlines are met and in line with company budgeting deadlines.

  • Have a flexible approach to the work. Occasionally rota’d work from home, dependant on workload and with agreement form the Aspire Assist Administration Manager.

  • Attend weekly and monthly meetings to talk through outstanding POs and work with the Aspire Service Delivery Maner to ensure all POs and CVOs are raised and administered on time with no delays to Service Partner payments.

  • Support the Aspire Assist Agent team with training on processes relating to the raising of Purchase orders.

  • Support the Aspire Assist Agent team by responding to switchboard calls.

  • Work with the Aspire Service Delivery Director and improve administrative process, resulting in the streamlining of current processes and service enhancement for internal and external customers.

Your skills, experience and qualifications:

Essential criteria

  • Purchase Order administration experience

  • Competent in Outlook, Word, and PowerPoint

  • Experience using Excel formula’s (X and VLOOKUP's/Pivot Tables etc.)

  • Working knowledge of financial administering systems

  • Clear and professional communication skills

  • Able to work on own initiative in a fast paced environment

  • Can demonstrate a strong customer service background from previous role
