Role Overview:
Key Responsibilities
- Proactively manage, organise the CDO enabling them to focus on the priorities at hand, acting as gatekeeper.
- Proactively manage all communication, including inbox, re-directing or responding to emails on their behalf as and when required, flagging urgent / important emails and ensuring regular updates take place to complete actions.
- Ensuring the smooth day to day running of complex diaries, managing calendar conflicts proactively, allowing adequate time for travel and preparation in between meetings and planning ahead whilst ensuring that they are managing their time effectively.
- Ensuring adequate preparation for meetings including printing of paperwork and research. Organise and pre-empt what they will need and make sure they have everything for meetings including travel packs and reports etc.
- Maintaining appropriate records and filing of key documents.
- Attending meetings, taking minutes, and following up on actions.
- Handling of travel and accommodation requirements both nationally and internationally, preparing travel itineraries and arranging visas.
- General Admin, expenses, memberships, timesheets, booking of meeting rooms, desks in offices, proof reading, catering etc.
- Preparing reports and PowerPoint presentations for meetings and ensuring they are fully prepared for the week ahead.
- Scheduling of annual appraisals for their teams, regular catch ups and team meetings.
- Working closely with all other EAs in the business to ensure aligned on work priorities and informed of upcoming events.
Skills, Knowledge and Expertise
- Must have previous PA experience in supporting Senior Leaders – preferably within I.T.
- Ability to use own initiative.
- Able to stay professional and calm under pressure, assertive, confident to communicate at a range of levels both internally and externally.
- Highly organised and a team player.
- Proactive and resilient, adaptable to quick / last minute changes in diary, flexible, persistent, and focused with the ability to think logically using own initiative.
- Good attention to detail and strong organisational skills. Must maintain a high level of confidentiality at all times.
- Ability to prioritise workloads, work under pressure and meet tight deadlines.
- Creating and maintaining good relationships with other Executive Assistant’s and colleagues within the business.
