The Clerk IV is responsible for but not limited to preparing advanced-level correspondence (i.e., documents which require an understanding of technical or legal language and applications) performs various administrative duties in the department, schedules appointments, hearings and interviews as directed, coordinates and helps train new employees in the department.

Responsibilities

  • Will function under the general direction of supervisor as assigned to perform a wide variety of typing and clerical functions which require a high degree of independent thought.
  • Works in conjunction with Investigators, Case Managers, Hearing Officers, Legal and Court Staff in the preparation of related documents, including but not limited to, petitions, motions, recommendations, hearing notices, dockets and orders.
  • Respond to telephone inquiries and provide relevant information to clients, attorneys and court personnel.
  • Work with Court employees or other Agencies to arrange for the scheduling of hearings and resolution of problems.
  • Be familiar with the SETS computer system and its use. Responsible for updating system as it relates to individual cases.
  • Type, file, prepare documents for mailing, provide statistical reports as needed, and prepare data for various statistical and management reports.
  • Ability to read and understand court orders as it relates to the job functions assigned.
  • Assist in the training of new personnel regarding the job functions assigned.
  • Work in a stressful situation and consistently make appropriate decisions under Agency guidelines.
  • Be familiar with the Innerweb and CSEM as it relates to job responsibilities and corresponding job functions.
  • Acts as a coordinator of the work flow and processing of cases within the assigned unit; acts as a lead worker to other support staff.
  • Perform other related duties as assigned.

Knowledge of: 

Child support orders; Computer operations (e.g., SETS, Outlook, Office (Word, Excel, Access, PowerPoint), EDMS/Unity and other related State software); Federal, State, and Local laws, rules, guidelines and regulations regarding child support programs; Intermediate level mathematical principles; Judgement entries; Office practices and procedures pertaining to child support programs; Paternity test procedures; Typing and word processing.

Skilled in:

Interviewing; Oral communications; Organization; Performing computer operations (e.g., SETS, Outlook, Office (Word, Excel, Access, PowerPoint), EDMS/Unity and other related State software); Typing/Word processing; Writing.

Ability to:

Ability to work independently; problem-solve and make determinations with complicated scenarios as they arise; Expeditiously process all work on time, and as assigned.; Complete forms; Comprehend written material; Explain legal or technical material to others; Extract information from various sources; Gather, collate and summarize data; Handle contacts with outside Agencies; Listen for problems or issues and provide responses or explanations; Maintain accurate records; Perform intermediate mathematical operations (addition, subtraction, multiplication, and division of fractions, decimals, and percentages); Perform a wide variety of interrelated or nonstandard procedural assignments; Postal verifications; Prepare correspondence; Process legal documents for presentation in court; Type information into computers; Use computers (e.g., SETS, Outlook, Office (Word, Excel, Access, PowerPoint), EDMS/Unity and other related State software).

Qualifications

Associate’s degree from an accredited college or university with at least 1 year of experience in a clerical/administrative support position performing increasingly complex and progressively responsible clerical duties; OR 3 years of documented related experience in a clerical/administrative support position performing increasingly complex and progressively responsible duties may be considered in lieu of a degree. The ability to work independently and maintain accuracy is essential. Must possess a valid driver’s license and must maintain a driving record that meets Lucas County insurability standards.
