Job Summary:

The Administrative Assistant is a trusted champion of daily office operations at both the Addison Service Center and our Headquarters location. This role ensures our spaces run smoothly and our teams have what they need to work effectively. Working closely with the Executive Assistant, this position supports internal events and key administrative processes with care, confidentiality, and consistency. The ideal candidate is highly organized, dependable, people-focused, and ready to help wherever needed.

Location: Addison, TX and Coppell, TX (50%/50%)

Responsibilities:

 

  • Support daily office operations at both our service center and headquarters, ensuring a smooth, professional, and welcoming environment across locations
  • Maintain and restock office and breakroom supplies, proactively tracking inventory and ordering before needs arise
  • Coordinate with vendors for basic facility needs, repairs, and maintenance to keep both spaces running efficiently
  • Greet and assist visitors, vendors, and employees with warmth and professionalism, contributing to a strong first impression
  • Own the opening, scanning, and delivery of mail and physical documents — ensuring accuracy, timeliness, and confidentiality at every step
  • Assist with internal events and meeting logistics — ordering meals, prepping spaces, managing access, and keeping things on track
  • Manage recurring tasks like badge printing, printer supply orders, and platform support 
  • Partner closely with the Executive Assistant to support key initiatives such as event logistics, board meeting prep, onboarding experiences, and special projects
  • Handle responsibilities with integrity, sound judgment, and discretion — especially when working with sensitive information or executive-level requests
  • Step in wherever needed with a team-first mindset — anticipating needs, noticing gaps, and jumping in before being asked
  • Help foster a positive culture through consistent communication, warm interactions, and follow-through

 

Requirements:

  • High school diploma or equivalent required; bachelor’s degree preferred
  • Proven experience in office management or administrative support roles
  • Excellent organizational and multitasking skills
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Valid driver's license and reliable transportation for frequent travel to headquarters
