Job Summary
Duration through December 1, 2025; possible extension.
As a key member of UCSF’s patient-focused care team, the Practice Coordinator 3 (PC 3) serves as the public face of the practice and plays an essential role in coordinating administrative and patient services. This role requires strong organizational skills, professionalism, flexibility, and an ability to multitask in a fast-paced healthcare environment. The PC 3 supports all facets of practice operations, from scheduling and authorizations to revenue cycle functions, patient interaction, and IT systems.
Key Responsibilities:
New Patient Coordination
- Manage new patient referrals and intake processes
- Schedule and register patients, obtain insurance and authorization details
- Coordinate pre-visit communications and documentation
Advanced New Patient Coordination
- Review medical records and triage new patients to appropriate providers
- Coordinate interdisciplinary consultations and complex case prioritization
Surgery Scheduling
- Schedule outpatient/inpatient surgeries and pre-op appointments
- Coordinate with providers, admissions, and billing for surgical logistics
- Obtain and track surgical authorizations
Revenue Cycle Support
- Collect copays and communicate billing policies
- Process insurance authorizations and billing documentation
- Address patient billing concerns and monitor denials
Check-In/Front Desk Operations
- Greet and register patients; assist with Kiosk use
- Maintain waiting area; manage delays and service recovery
- Promote front desk workflow improvements
Administrative & Patient Care Coordination
- Schedule follow-up appointments and tests
- Triage calls and respond to patient inquiries
- Provide support for medical documentation and provider communication
ApeX & IT Systems Use
- Manage referrals, encounters, smart phrases, and MyChart messages
- Schedule complex appointments using Cadence and Apex systems
- Support reporting, billing, and IT documentation workflows
Phone Bank & Customer Service
- Answer patient calls and route inquiries appropriately
- Respond to web appointment requests and manage CRM documentation
Leadership Support
- Serve as liaison for escalated issues
- Support training and orientation of new staff
- Lead or contribute to performance improvement initiatives

- High school diploma and four years related experience, or college degree and six months experience, or equivalent
- Strong customer service, communication, and organizational skills
- Experience with Microsoft Office and multiple data systems
- Demonstrated ability to multitask, problem-solve, and work independently
- Successful background clearance and cash handling authorization
Preferred Qualifications
- Experience in a healthcare environment (e.g., scheduling, billing, or insurance verification)
- Familiarity with Epic (APeX) system
- Multilingual skills (Spanish, Cantonese, Russian preferred)
