GENERAL SUMMARY OF DUTIES: The Registrar is responsible for the accuracy, security, and integrity of all students’ academic records, as well as the administration of registration, transcripts, graduation certification, and state/federal reporting requirements. The Registrar manages enrollment processes, degree audits, and institutional compliance related to academic records while providing efficient, student-centered services to students, faculty, staff, and external agencies.

KEY RESPONSIBILITIES:
Student Records & Registration
  • Oversee all student registration, add/drop, withdrawal, and course scheduling processes.
  • Approve and maintain official student files, including opening, closing, and archiving records in accordance with retention policies.
  • Process transcript requests, enrollment verifications, and graduation certifications.
  • Certify student eligibility for graduation, ensuring compliance with institutional and accrediting body requirements.
  • Prepare commencement lists and ensure accurate reporting of graduate outcomes.
  • Maintain confidentiality and security of records in compliance with FERPA and institutional policies.
Compliance & Reporting
  • Administer required reporting of student data to the U.S. Department of Education, State Boards and Accrediting Commissions (e.g., ACCSC)
  • Prepare and submit institutional, state, and federal reports, enrollment data, and completion statistics.
  • Ensure all documentation required for internal, accrediting, and state audits is accurate, timely, and complete.
  • Monitor records for compliance with SAP (Satisfactory Academic Progress), financial aid regulations, and institutional policies.
  • Maintain accurate student files by auditing new student folders within 14 days of class start and tracking missing documents until resolved.
Academic Progress & Attendance Monitoring
  • Monitor daily attendance, excessive absences, and academic progress, submitting notifications and early alerts to the Director of Education for review.
  • Provide quarterly transcript audits to ensure accurate reporting of grades, attendance, and SAP.
  • Generate weekly reports (e.g., Drop/Add, Status Change, Attendance Summary, and School Status Reports) for campus leadership.
  • Accurately update VIAS (or other student information systems) with academic data, ensuring real-time accuracy for student tracking.
Student & Faculty Support
  • Provide students with access to records, transcripts, and enrollment services in a professional, service-oriented manner.
  • Research and resolve student disputes related to records, grades, or enrollment status in collaboration with the Director of Education.
  • Support faculty by preparing class rosters, distributing grade reports, and ensuring timely entry of grades and attendance.
  • Confer with the Director of Education regarding evaluation of transfer credits and transcript articulation.
Institutional Collaboration
  • Work closely with Admissions to review, audit, and complete incoming student records.
  • Coordinate with Financial Aid on SAP reporting, enrollment status changes, and documentation for Title IV compliance.
  • Collaborate with Academic Affairs to ensure students remain on track for graduation.
  • Provide data and documentation for institutional effectiveness and accreditation reviews.
Additional Duties
  • Manage timeclock access for clock-hour programs by adding/removing students as required.
  • Create institutional email accounts for new students and assist with student portal access.
  • Participate in professional development and in-service activities.
  • Perform other duties as assigned by the Campus Director.
MINIMUM QUALIFICATIONS
  • Associate degree with at least three (3) years of administrative or clerical experience.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage confidential student data with discretion and integrity.
Preferred Qualifications
  • Bachelor’s degree with 3–5 years of experience in student records, registrar services, or higher education administration.
  • Knowledge of FERPA, state/federal reporting requirements, and accreditor expectations.
  • Proficiency in student information systems and Microsoft Office Suite.
