Job Summary

Job Description

  • Assists with the IRB (Institutional Review Board) modernization project by creating/managing forms and boards in Monday.com, corresponding with internal and external partners related to its development and implementation, and assisting with billing/invoicing as needed.
  • Organizes and stores files on current and previous IRB applications and resulting decisions. 
  • Establishes and maintains electronic files for identifying and recording and classifying stored data; extracts, assembles and merges stored information to create new documents.
  • Creates and manages a database of IRB documents; creates a Standard Operating Procedure (SOP) for IRB document and file storage and keeps it updated
  • Serves as liaison for the IRB with researchers (internal and external) and other Louisiana Department of Health (LDH) partners, and assists them as needed to ensure a completed application is submitted for review. 
  • Organizes and maintains files and reference manuals/materials; ensures confidentiality of information as necessary. 
  • Prepares materials needed for meetings, such as agendas, handouts, binders, etc.
  • Composes emails and types correspondence that address general questions and concerns within federal guidelines and policies for ethics in research.
  • Performs advanced and routine administrative duties; reviews and prioritizes emails, relays messages on a timely basis, assists with the organization for IRB priorities and provides project management assistance for the IRB Chair and Director. Schedules ad hoc and regular meetings, takes minutes during the same, and disseminates them to all board members in a timely manner.
  • Assists IRB leadership with creating quarterly reports; disseminates said reports to board members, answers or relays questions and/or concerns from board members as appropriate in a timely manner; conduct searches on topics as assigned; minor editing and proofing of prepared reports; maintain federal, state, and related databases with current IRB information.
  • Serves as IRB leadership’s liaison with other board members, prompting attendance at meetings, deadlines for application or other materials review, requirements for training, and federal documentation; fielding technical questions; making notifications for absences.
  • Other tasks as assigned.


QUALIFICATIONS
REQUIRED:

  • Bachelor’s degree, or Associate’s degree plus 3 years of professional experience, or 6 years of professional work experience.
  • Minimum 2 years professional experience performing administrative functions within an office environment or health care field.
  • Excellent analytical and critical thinking skills; effective organizational and time management skills.
  • Great attention to detail and follow up.
  • Ability to manage projects, assignments, and competing priorities.
  • Proficient in the use of Zoom, Teams, and Microsoft Office, including but not limited to Outlook, Word, and Excel.
     

DESIRED:

  • Advanced degree.
  • Minimum 3 years professional experience performing administrative functions within an office environment or health care field.
  • Minimum 1 year professional experience with project or program coordination.
  • Minimum 1 year professional experience managing or administering Monday.com or similar workflow/project management platforms.
  • Minimum 1 year professional experience with process optimization, program improvement and/or data modernization initiatives.
