Information Handling Clerk

Job Summary:

This position is responsible for processing all incoming information from internal and external customers with a high level of accuracy within WCB’s customer service standards. Information includes paper and electronic documents and digital media.

 

Duties & Responsibilities:

  1. Processes all incoming information received through various sources such as mail, faxes, emails and digital media into the system. 

  2. Ensures incoming documents and digital media are complete and legible and there are no breaches of privacy.

  3. Contacts external and internal customers regarding information received. 

  4. Assists internal and external customers with submitting documents and digital media.

  5.  Maintains manual and automated standard file records for incoming documents and digital media, ensuring all information is stored according to the WCB’s records retention policies and procedures.

  6. Retrieves and returns documents and digital media to internal and external customers as required.

  7. Assists with training new co-workers on Information Handling Clerk processes.

  8. Develops and updates process standard work and training manuals as well as other documentation as required.

  9. Participates in all aspects of Continuous Processing Improvement (CPI) and the Daily Management System (DMS).

  10. Input data into various systems for reporting purposes. 

  11. Prioritizes tasks to meet customer service standards.

  12. Provides coverage for the Mailroom as required.

 

Qualifications:

Successfully completed Grade 12 or equivalent plus a minimum of 6 months experience working in an office environment, including:        

  • Providing customer service to internal and external customers on the phone and in writing.

  • Editing and writing business correspondence (email and letters).

  • Experience with leading business software applications such as Microsoft Office (Word, Excel and Outlook) Adobe, Electronic Records Management Systems (ERM).

  • Knowledge of the Freedom of Information and Protection of Privacy Act (FOIP).

  • Ability to make decisions independently.

  • Experience working in a team environment.

  • Experience working in a fast-paced office environment.

The Saskatchewan WCB was established in 1911 because of a historic compromise between Saskatchewan workers and employers. Under that compromise, workers injured on the job in covered industries do not have to pay for the benefits they receive or sue their employers to get them. Costs are paid entirely by Saskatchewan employers in covered industries. This is referred to as a no-fault insurance system, also referred to as the compensation system.
