General Purpose:

The E-Billing Specialist is responsible for processing and submitting monthly invoices for electronically billed clients through third-party vendor sites using full knowledge and understanding of the accounting software. This position will support the administration and management of electronic billing processes for all e-billed clients. This position will also assist in coordinating technology functions, upgrades, and enhancements for the Client Accounting team as it relates to E-Billing Platforms and Prebill Manager. This role requires 3+ years of hands-on E-billing experience in a law firm or professional services firm.

Essential Duties/Responsibilities:

  • Processes electronically billed invoices for specific attorneys or clients as assigned.
  • Responsible for setting up clients migrating to electronic billing for all vendor third-party sites and Aderant eBillingHub.
  • Monitors invoice validation, approval, reductions, and rejections of e-billed invoices to ensure full payment of invoices.
  • Responsible for updating e-billing data, such as budgets, rates, timekeepers, and disbursement mapping.
  • Assists with implementation of enhancements and troubleshoots electronic billing issues.
  • Communicates e-billing guidelines and updates to the billing team and ensures compliance with all e-billing guidelines.
  • Assists with Aderant eBillingHub setup – using specifically for tracking requirements by client.
  • Assists collection team with follow-up on aged invoices submitted electronically, including research of short-paid invoices.
  • Assists attorneys/assistants with training on Prebill Manager.
  • Meets with attorneys/assistants to discuss electronic billing processes as needed.
  • Assists with testing and training for Aderant and Prebill Manager upgrades and related software. Attends vendor software user group meetings.
  • Perform additional duties and tasks as assigned, demonstrating flexibility and a commitment to supporting the firm's overall objectives.

Job Qualifications (Education, Experience and Certification):

  • 3+ years hands-on E-billing experience in a law firm or professional services firm required.
  • Familiarity with legal billing software (Aderant, eBillingHub, Elite Enterprise, etc.). Advanced proficiency strongly preferred.
  • Familiarity with E-Billing vendor sites such as T360, CounselLink, Legal Tracker, Collaborati, and Passport strongly preferred.
  • Requires fundamental knowledge of accounting software and basic accounting principles.
  • Requires analytical skills to apply knowledge to practical situations and the ability to foresee problems and effect solutions.
  • Ability to perform at high levels in a fast-paced ever-changing work environment and successfully adapt to changing priorities and work demands, with consistently high production.
  • Exceptional attention to detail and proofreading skills.
  • Requires above average typing and ten key skills, and proficiency in the Microsoft Office suite of products (Outlook, Word and Excel).
  • Requires good organizational and planning skills to prioritize and complete assigned bills accurately and in a timely manner and to assess, recommend and implement improved work procedures.
  • Good interpersonal/communication skills required to work effectively with personnel at all levels within the firm.
  • Requires dependability and a willingness to meet the requirements of the position and accepts a wide variety of assignments with a positive attitude and team spirit.
  • Requires absolute confidentiality and discretion.

Physical Requirements:
While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.

Holland & Hart offers of employment take into consideration a candidate’s education, training, and experience, as well as the position's work location, external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees. Colorado Salary Range - $28.24 - $47.07/hour.  A discretionary bonus may be available based upon performance.
